Job Summary
Provide a variety of administrative and clerical tasks to support daily operations. Distribute, maintain and track equipment inventory for clinical staff. Coordinate and communicate information to managers, administrative and clinical staff. Prepare information, run various computer reports, perform data entry, and file related documentation. Cross-train to perform back-up to clinical schedulers.

Cross-train to perform receptionist duties, triage incoming telephone calls, sort, distribute and process incoming and outgoing mail, maintain postage meter and office equipment.

Will maintain inventory, order and distribute supplies.

Key Activities

  • Maintain inventory of staff equipment (cell phones, pagers, supply bins, etc.). Distribute and maintain tracking system for equipment. Provide setup information to users.
  • Maintain inventory for a variety of office supplies and forms
  • Order and maintain medical supplies and inventory
  • Order medical equipment; distribute and track inventory.
  • Oversee maintenance and operation of office equipment
  • Resolve minor facility issues either directly or by contacting appropriate vendor or landlord
  • Local travel required.

Qualifications and Experience

  • Strong computer skills with Microsoft Office experience required and ability to learn other specialized software
  • 3 years experience performing a variety of administrative tasks, including knowledge of office equipment
  • Experience in healthcare setting preferred
  • Strong verbal, written and electronic communications skills
  • Demonstrated customer service and strong interpersonal skills
  • Patience and understanding when dealing with a variety of customers
  • Strong organizational and detailoriented skills
  • Ability to work with and maintain sensitive and confidential information
  • Flexible with ability to adapt to changing situations and willing to support wherever needed
  • Ability to work independently, be selfdirected and contribute as a member of a team
  • Local travel required to drive to various local offices
