    Enrollment Marketing and Operations Specialist


    The Enrollment Marketing and Operations Specialist plays a pivotal role in supporting the technical, operational, and marketing functions of the office.

    They routinely utilize the institution's Constituent Relationship Management (CRM) tool, Student Information System (SIS), and external application services to conduct daily tasks, including data entry, application processing, reporting, and training.

    The incumbent will manage the dissemination of electronic and SMS communications and be an in-house expert on the Deliver module within Technolutions Slate (the CRM used by Carlow's Office of Admissions).

    They also function as a key contributor to the quality assurance of data.

    This position is eligible for hybrid or remote work status.


    REQUIRED QUALIFICATIONS
    A high school diploma or GED is required
    Experience with using CRMs and/or marketing automation software
    A high energy level, strong attention to detail, and outstanding project management skills
    Ability to work with, understand, analyze, and manipulate data
    Excellent oral and written communication skills
    Strong interpersonal, teamwork, and customer service skills
    Ability to work within a team, multi‐task, take initiative, and function with minimal supervision
    Must be able to solve problems, think, and make decisions quickly and independently in a fast-paced environment Comfort with change
    Intermediate knowledge of word processing and spreadsheet applications; Broad technical knowledge.
    Flexibility to work some evenings and weekends is required to support time-sensitive communications or events.

    PREFERRED QUALIFICATIONS
    An associate or bachelor's degree is preferred
    Previous experience with Technolutions Slate strongly preferred
    Prior experience in a higher education environment, particularly in college admission, enrollment, or marketing/communications.

    PRIMARY RESPONSIBILITIES
    Marketing Functions
    Build and maintain email templates, populations, and drip marketing campaigns in Technolutions Slate CRM.

    Manage the day-to-day setup of email/SMS messages, recipient lists, liquid markup/conditional logic, and A/B testing for all mailings in Slate, including ad-hoc messages, process/deadline reminders, and form/event communications.

    Contribute to marketing and communication strategies and assist with copywriting and proofreading/editing.

    Stay current with available institutional marketing libraries, toolkits, templates, and assets (e.g., flyers, graphics, photos, videos, etc.), consult with the Marketing and Communications team on future needs, and track/report on their use and efficacy in enrollment efforts.

    Secure proper internal approvals before campaign deployment to ensure accuracy of content, consistency in tone and messaging, and alignment with brand and accessibility standards.

    Support construction and maintenance of Slate landing pages and portals.

    Analyze data to assess the effectiveness of communications efforts and deliverability of email campaigns; monitor and research other institutions' marketing approaches and industry-specific trends; provide recommendations for immediate or future adjustments to strategy.

    Support enrollment-specific marketing partner/vendor relationships.

    Collaborate with internal colleagues and assist with project management, content creation, production, printing, mailing, and tracking of print marketing materials and correspondence.

    Operational Functions

    Manage data entry and technical aspects of the enrollment process within the CRM (Slate), SIS (Ellucian Colleague), and Liaison/CAS systems.

    This includes the processing of admission applications, transcripts, letters of recommendation, personal statements, program-specific materials, etc.

    Download, format, and import data and materials from external vendors, application sources (e.g., Liaison/CAS, Common App), test scores, ISIRs, etc.

    into the CRM and SIS (as applicable).

    Serve in a key supporting capacity for our graduate health science programs, including weekly meetings with program faculty, prerequisite coursework review, and applicant tracking.

    Contribute to the implementation, configuration, integration, and ongoing maintenance of the CRM, SIS, external application systems, middleware, and other related technologies.

    Generate daily, weekly, monthly, and annual reports/lists related to the enrollment operation. Build queries and reports for constituents within the office and campus community as requested.
    Create and maintain detailed documentation of systems and processes.
    Train professional and student staff and faculty members on proper usage of the CRM.
    Ensure data integrity through quality assurance reports and processes.
    Seek opportunities for process improvements and re-engineering.
    Support the overall business operation through email and mail processing, as needed.

    Attend and participate in the planning of applicable admissions/recruitment events (e.g., accepted students' day, orientation, etc.).
    Maintain a high degree of confidentiality.
