    Project Manager/Library Systems - Temporary/hybrid


    The Berklee Library seeks applications for a Temporary Project Manager/Library Systems to assist a team planning and transitioning from two systems (Koha and Evergreen) to a single unified library systems platform.

    This project is a major effort for the Berklee Library and Learning Resources Department and will be a cooperative effort with involvement of library staff from all areas of the library, especially Technical Services and Access Services, and will require regular communication with the systems vendors and library staff.

    The project will involve a massive data migration, complex system configuration, revamping of many library workflows, and a development of a comprehensive communications and training program for Library staff.

    The Temporary Project Manager/Library Systems will report to the Associate Dean of the Library.

    The position will be dedicated solely to the project and will play a key role in project communications, scheduling and coordination of efforts across The Library and liaising with systems vendors.

    The scope of the work will include early project planning, communications, and coordination through migration and implementation, and post implementation review and verification.


    This is a one year, 25 hour per week, flexible modality, temporary staff position with the possibility of extension to another year.

    The anticipated start date is

    February/March 2024 .

    Strategic Collaboration:


    Collaborate closely with the Associate Dean of the Library to strategically plan, coordinate, and monitor all project activities, ensuring alignment with quality and performance objectives.

    Act as a key partner in translating organizational goals into actionable project plans, fostering a results-driven culture within the Library.


    Stakeholder Engagement:


    Maintain a proactive and open line of communication with library staff, ensuring a deep understanding of their needs and expectations.

    Effectively articulate the functionality and configurability of the Integrated Library System (ILS) software, fostering satisfaction and engagement among library staff.


    Project Design and Implementation:


    Partner with the Associate Dean, Associate Director of Library Systems & Web Development, library staff, and vendors to meticulously design and implement ILS-related projects.

    Guide projects from initial requirements gathering through to completion, conducting thorough assessments of outcomes and impacts to optimize future initiatives.


    Vendor Liaison and Issue Resolution:


    Serve as a primary liaison between The Library and vendors, proactively addressing and resolving system performance issues to maintain seamless operations.

    Conduct thorough research and testing of ILS functionality, ensuring a comprehensive understanding, and collaborate with colleagues to document findings.

    System Administration:
    Administer organizational settings, circulation/hold policies, and other system configurations, ensuring optimal functionality and alignment with library objectives.
    Develop and maintain documentation for program policies and procedures, encompassing both software functionality and internal operational protocols.

    User Support and Training:


    Respond promptly to help tickets, bug reports, and technical support requests, referring issues to the appropriate staff members for timely resolution.

    Organize and facilitate training activities related to new ILS functions and services, contributing to enhanced user proficiency and satisfaction.

    Contribute actively to the refinement of internal best practices, ensuring the delivery of high-quality services that align with the evolving needs of The Library.

    Stay informed about industry trends and emerging technologies, integrating innovative approaches into project management strategies for continuous improvement.

    SKILLS AND ABILITIES REQUIRED:
    Project Management Professional (PMP), CSM (Certified Scrum Master), or equivalent certification preferred
    Sound project management knowledge, skills and abilities with a variety of methodologies and business process tools, and the flexibility to apply the best method to the needs of the project
    Bachelor's degree or related degree work
    5+ years of progressive project management work experience
    Previous ILS migration experience highly desired
    Experience with back-end functionality in an ILS (configuring loan rules, import tables, etc.)
    Demonstrated ability to effectively plan, manage, and complete complex projects
    Knowledge of Library Discovery layers and application of integrated library systems a plus
    Proven ability to work & lead effectively in a highly diverse campus community
    Excellent interpersonal and team collaboration skills
    Strong organizational skills & attention to detail
