    Responsibilities

    The Associate Director of Specialty Collections and Donor Management will oversee the intake, processing, and management of donors with special donation needs throughout the NYBC Enterprise. The role will have a key responsibility of building a positive experience for donors with special donation needs, pre- and post-donation. Donation types include:

  • Autologous and Directed Donations
  • Hemochromatosis
  • The role will also work with our other departments such as Laboratories, Research, and Medical to implement collection protocols for research or revenue-generating programs. The Associate Director will work to leverage the use of BECS to standardize protocols to the greatest extent and work with the pillars within the Enterprise Collections Center of Excellence for successful implementation. Some processes may include:

  • Reagent Donor Program
  • Source Plasma initiatives
  • The Associate Director will also hold the responsibility of effectively managing our donors' safety and feedback system through oversight of Reaction Management, Red Cell/Plasma loss Management, and Donor Concerns. The incumbent will have a strong propensity towards empathy and care and the ability to build strong relationships that result in donor retention.

    Reports to : Vice President of Enterprise Collections Center of Excellence (ECCOE).

    Location: Candidates must be able to report into one of the following NYBCe locations :New York City, NY; Kansas City, Missouri; St. Paul, Minnesota; Providence , RI and Newark, DE.

    Leadership;

  • Build and oversee the creation of a merged department for Specialty Collections and Donor Management throughout NYBC Enterprise (NYBCe).
  • Fosters a collaborative and cooperative team culture.
  • Ensures the team maintains a working knowledge of the blood collection process for all product types and the software systems and equipment used to complete the process.
  • Develop and refine strategies to ensure efficient and effective operations including workflow processes, resource allocation, and technology utilization.
  • Establishes reporting format and metrics relating to all collection types and activities within the oversight of Specialty Collections.
  • Mentoring your team, providing training, and conducting performance evaluations.
  • Oversees staff recruitment, training, and performance management to maintain high-quality service standards.
  • Works towards meeting established budgetary and financial targets.
  • Specialty Collections;

  • Creates and continuously improves the process for the collection of Autologous, Directed, and Hemochromatosis donations through the optimization of BECS.
  • Works with Collections and IT to drive innovation and process improvement with the BECS vendor.
  • Builds strong relationships with our Private Physician customers to ensure understanding of the process of donation and successful intake of referred patients/donors.
  • Collaborates with Collections on the identification of optimal Donor Center locations for collections and communication channels for process updates and donor scheduling.
  • Maintains a strong rapport with NYBCe Medical Directors to ensure compliance with donor eligibility guidelines, product collection, and eventual shipment to hospital customers.
  • Special Programs;

  • Partners with Laboratories, Research, and all other NYBCe departments in the establishment of unique protocols for special blood products or sample collection programs.
  • Develop rules of engagement for collections and partners with other members of the Enterprise Collections Center of Excellence (ECCOE) for implementation.
  • Tracks performance of programs and prepares reports for presentation to senior leaders.
  • Donor Management;

  • Demonstrates a strong understanding of the AABB Severity Grading Tool for Blood Donor Adverse Events.
  • Manages donor reaction follow-up and communicates with NYBCe Medical Directors and Legal as appropriate.
  • Identifies reaction trends promptly and escalates for further review by appropriate departments.
  • Works with EADS to create standards for data tracking and prepares reports displaying NYBCe's performance in mitigating and managing donor reactions.
  • Tracks red cell and plasma loss for donors implementing processes for donor notification and appointment management using BECS and NYBCe data management warehouse.
  • Donor Concerns;

  • With a strong focus on optimizing the Donor Experience, track donor concerns with an analytical focus on needed recovery in the front end of the Donor Journey.
  • Readily escalate trends, WOW moments and Donor Experience misses to appropriate leaders.
  • Generate data reports on a timely basis for senior leadership review.
  • Work with the Vice President of ECCOE to identify gaps in tools necessary for effective management of donor concerns.
  • Ensures all concerns receive voice-to-voice response.
  • Develop standards and procedures for the management of Donor Concerns.
  • Qualifications

    Education:

  • Bachelor's degree (BA) or equivalent in a relevant field.
  • Qualifications & Experience:

  • 8 years of related experience in healthcare
  • Proven experience in leading and managing teams working in a technical environment.
  • Knowledge, Skills & Abilities:

  • Strong technical knowledge and understanding of software systems and services.
  • Exceptional critical thinking skills and a customer-focused mindset.
  • Exceptional communication and people skills.
  • Experience with service management.
  • Possesses the ability to manage remote teams
  • Experience in coaching team members improving the quality of their deliverables and being a trusted mentor to team members.

  • Excellent written, verbal, and people skills for executive-level communication and collaboration.

  • Other Requirements:

  • Able and willing to travel up to 25%
  • Commitment to physical presence at a physical location office (e.g., our headquarters in Rye, NY, or similar) at least 3 days per week. The policy is subject to change.
  • For applicants who will perform this position in New York City or Westchester County, the proposed annual salary is $ 125,000.00p/yr to $ 135,000,00p/yr. For applicants who will perform this position outside of New York City or Westchester County, salary will reflect local market rates and be commensurate with the applicant's skills, job-related knowledge, and experience.
