    Description

    Overview:

    Quintairos, Prieto, Wood & Boyer, P.A. a multi-office national firm has an immediate opening for a full-time Receptionist to manage the front desk of our Miami office. This position provides administrative support and answers all incoming calls within the office.

    Responsibilities:
    • Greet, assist and direct visitors and clients. Provide security passes when necessary.
    • Answer all incoming calls and handle callers inquiries; receive and relay telephone messages.
    • Direct callers to the appropriate staff member as appropriate and take adequate messages when required.
    • Receive and file faxes in distribution folder.
    • Communicate maintenance requests to administration. Coordinate the repair and maintenance of office equipment.
    • Receive incoming packages and log/track them. Coordinate with FedEx and UPS for outgoing packages.
    • Update extension list as needed.
    • Pick up, sort and deliver the mail as well as open, date and stamp all general correspondence and distribute mail into appropriate mailboxes.
    • Provide office support services in order to ensure efficiency and effectiveness.
    • Maintain the general filing system and file all correspondence.
    • Assist in the planning and preparation of meetings, conferences and conference telephone calls. Manage conference room schedule and schedule conferences in Outlook.
    • Maintain an adequate inventory of office supplies and storage room inventory/cleaning and monitor the use of supplies and equipment.
    • Perform other related duties as required.
    Qualifications:
    • 1-2 years experience working as a Receptionist/Front Desk Administrative Assistant - law firm or professional services experience preferred.
    • High School Diploma or its equivalent required.
    • Requires critical thinking skills, excellent communication and organizational skills, decisive judgment and the ability to work with minimal supervision.
    • Experience handling multi-line phone system preferred
    • Strong Microsoft Office applications handling Excel, Outlook e-mail, and Internet.

    Physical Demands

    This position is considered to be mostly sedentary and will require the employee to sit for extended periods of time. It will also require the employee to occasionally stand, walk, and reach with hands and arms. They may engage in bending, stretching, reaching and other motions in the course of a working day. They will be engaged in using office equipment and computers. They may engage in lifting of supplies and materials up to 20 pounds from time to time. While performing duties of this position, the employee is regularly required to see, talk and hear.

    Working Conditions

    This job is located primarily in an indoor office environment with varying noise levels. There may be varying degrees of temperature. The employee may be interrupted from time to time.
