The Team You'll Work With
The Mayor's Office of Administrative Services is responsible for coordinating the day-to-day operations of
the Mayor's Office and agencies under City Hall.
Facilities, Construction Management and Operations is responsible for overseeing and managing
facilities within all Mayor's Office locations. Our priorities include but are not limited to space
management, office seating, custodial needs, supply requests, records management, and mailroom
and messenger service. Our goal is to ensure offices operate efficiently and effectively throughout
Mayor's Office campuses.
The Problems You'll Solve
The Facilities Coordinator's responsibilities include but are not limited to:
- Monitors internal security system (Symmetry), which provides access to entry to employees.
- Program and print employee ID cards to grant access to assigned areas.
- Liaison for security system vendors.
- Manages work orders for the maintenance and upkeep of our security system to ensure that
- Monitor and reset alarms in the security system, as needed.
- Coordinates with HR to input new hires photos and ID numbers into office system, including
- Performs a variety of clerical and administrative duties to support the Director & Deputy Director.
- Backup to supply division by assisting Director in the organizing and replenishing of supplies in
- Assists with supply replenishment in our various office locations by making daily supply deliveries
- Answers phone and direct inquiries.
- Assist with conference room reservations and setups, as needed.
- Assists Director with maintenance and upkeep of various facilities including frequent walkthroughs
- Assist with basic office set ups and moves of boxes and small furniture, as needed.
- Coordinates with internal sign shops for any request regarding building signs, such as employee
- Assist with CMS and IT with receiving and delivering large shipments, as needed.
- Backup for office ticketing service system and assign them to office staff accordingly.
- Assist with fire drill coordination with building fire safety staff.
About You
Minimum Qualifications:
- A baccalaureate degree from an accredited college or two years of experience in security, cameras,
customer service, coordinating and room set up for meetings to support the office in the duties
described above; or
- High School diploma or equivalent and 6 years of experience in security system and administrative
have at least one year of experience as described in "1" above.
Preferred Skills/Experience:
- Ability to manage multiple tasks and set priorities.
- Excellent organizational, verbal, and written communication skills.
- Professional and courteous telephone and office demeanor.
- Ability to handle confidential and sensitive information, work independently and handle multiple
- NYS driver's license.
Salary
The City of New York Office of the Mayor's compensation package includes a market competitive
salary, equity for all full-time roles and exceptional benefits. Our cash compensation range for this role
is
$61,000 to $63,000.
