- Coordinate event logistics, including venue arrangements, lodging, food services, transportation, meeting spaces, and audio-visual aspects.
- Act as a liaison for marketing, communications, and external vendors, overseeing design, content, digital materials, stakeholder reviews, and deadlines.
- Manage collateral materials and shipments, including data processing and printing as necessary.
- Support the events team by overseeing project management, conducting team meetings, and addressing any obstacles.
- Assist the Event Manager or VP of Investor Relations with venue-related tasks and special projects.
- Review and update work schedules as needed.
- Ensure proper facilitation and documentation of budgets, payments, and expenses in collaboration with the Events Manager or VP of Investor Relations.
- Set up and maintain digital platforms for event websites and registration processes.
- Prepare event materials and packets for attendees.
- Coordinate the procurement of gifts, giveaways, and necessary materials for guests and attendees.
- Provide on-site leadership during events and oversee closing operations to ensure smooth coordination among staff and vendors.
- Participate in various meetings and task force groups to stay informed about operational procedures and policies.
- Availability to work evenings and weekends during events.
- Lead or contribute to projects focusing on organization-wide issues.
- Complete any necessary assignments as directed.

- Proficient in critical thinking, problem-solving, and time management.
- Capability to lead and coordinate logistics effectively.
- Proficiency in InDesign, Microsoft Word, and Excel, as well as Google Drive, One Drive, and Dropbox.
- Familiarity with Salesforce data management and reporting, or willingness to undergo training within 3 months of hire.
- Certification in Cvent event planning, or willingness to obtain certification within 3 months of hire.
- Working knowledge of project management software, or willingness to undergo training within 3 months of hire.
