- Provide comprehensive administrative support to executive leaders and department heads, ensuring efficient operation of the office.
- Manage calendars, schedule meetings, and coordinate travel arrangements, ensuring optimal time management of executives.
- Handle confidential and proprietary information with discretion and integrity.
- Prepare and distribute meeting agendas, take detailed notes during meetings, and ensure follow-up on action items.
- Create and maintain a system for managing documents and files, both digital and physical, to support organizational efficiency.
- Serve as a liaison between executives and other staff, as well as external partners, to facilitate communication and project coordination.
- Organize and oversee special events and projects, demonstrating strong project management skills.
- Prepare and edit correspondence, reports, and presentations, maintaining a high standard of accuracy and professionalism.
- Assist in the preparation and control of operational budgets related to office and administrative expenses.
- Available to work outside of standard office hours as needed.
- Perform other tasks as assigned to support the diverse needs of the organization.
- Maintain excellent phone etiquette and professional conduct at all times.
- Proven experience as an Administrative Assistant, Secretary, or similar role supporting senior-level managers or executives.
- Excellent organizational skills and the ability to prioritize multiple tasks seamlessly with superb attention to detail.
- Strong knowledge of office management systems and procedures.
- Outstanding communication and interpersonal abilities, including excellent phone etiquette.
- Proficiency in MS Office, with aptitude to learn new software and systems.
- Ability to handle confidential information with discretion and professionalism.
- High school diploma required; further education or certification in Office Administration is a plus.
- Bilingual abilities preferred, to accommodate diverse communication needs within the organization.
- Demonstrated ability to work independently as a self-starter.
