Summary:


  • The General Office Clerk serves as the first line of contact for the Office of the Criminal District Attorney. The position provides general administrative support including screening, communicating, processing, recordkeeping, and preparing case files and appropriate paperwork as needed. The General Office Clerk performs a variety of support tasks including receiving, screening, directing, and referring calls and visitors. The General Office Clerk is responsible for maintaining logs, records, and electronic and physical evidence including financial restitution. The position scans departmental records, monitors inventory, and maintains accurate records.

Essential Duties and Responsibilities:


  • Researches and verifies information for physical and electronic case files and external agencies.
  • Prepares packets for applicable parties for victim services, mental health/protective orders, and other units as needed. Researches, generates, edits, and sends documents and letters to victims. Assists legal secretaries with preparing and tracking paperwork for prisoner transfers. Prepares pen packet envelopes and checks computer for attorney case assignments. Distributes packets.
  • Receives, reviews, and distributes Digital Media Evidence (DME) for defense attorneys. Enters data into department case management systems. Enters trial updates onto external and internal webpage, using judgement and discretion to record appropriate verdict information.
  • Prepares spreadsheets as needed for tracking and file maintenance purposes. Maintains logs and records for electronic and physical evidence and financial restitution. Prepares and submits lists of evidence to purge and accompanying motions for court authorization as needed. Requests, prepares, and sends legal files to warehouse as needed including monthly disposed case files using records management system.
  • Performs clerical duties and administrative support such as consolidating, summarizing, sorting, filing, copying, data entry, distributing, and labeling. Identifies, scans, and uploads case file information to applicable case management systems and financial databases. Ensures appropriate documentation is properly entered and recorded. Provides additional clerical support for unit and division chiefs.
  • Compiles weekly, monthly, and special reports as needed from case management system and sends to applicable units to include restitution received, cases, and inventory filed and received. Maintains updated phone lists, office location maps, and front desk coverage schedules.
  • Processes and sorts general and legal mail. Screens incoming defendant mail. Determines where to route mail based on letter contents and notifies all applicable parties. Transports internal mail to the department mailroom.
  • Screens initial supply requests prior to submission to the Business Office and assists in making decisions regarding special inventory and supply requests. Requests, stocks, and tracks inventory and cleans and organizes supplies for supply and visitor rooms. Monitors copiers, printers, fax machines, kiosk computers, and telephones for troubleshooting and maintenance needs and communicates with the Business Office and Information Technology Department.
  • Participates in quarterly staff meetings and trainings to stay abreast of updated policies and procedures. Participates in monthly unit trainings with supervisors.
  • Performs all other duties as required including special projects.

Minimum Requirements:

High school diploma or equivalent. Three (3) full-time years general clerical or related experience. Excellent communication, interpersonal, and multi-tasking skills are necessary to interface with the general public and employees. Ability to answer multi-line phone. Knowledge of personal computers and keyboarding as well as typing and data entry skills.
Knowledge of office equipment. Must recognize the value of team dynamics, exhibit a professional demeanor, and possess problem solving and time management skills. Must have the ability to handle stressful situations calmly and professionally.
If hired, must provide proof of educational attainment at new hire processing.


Tarrant County will conduct background checks on new hires that will include a criminal background check related to convictions and deferred adjudication in the past seven years and may include credit reports, motor vehicle records, employment records and educational attainment.

A conviction or deferred adjudication is not an automatic bar to employment. Each case is considered individually.
