    JOB TITLE: Administrative Assistant REPORTS TO: VP of Operations

    DEPARTMENT: Operations FLSA STATUS: Full-Time; Exempt

    Summary

    This position will be primarily responsible for assisting with administrative and operational functions for the company as well as company-wide initiatives with the Executive Operations Team.

    Essential Duties and Responsibilities

    Administrative Support

    Assist the Executive Assistant with preparing for internal and external meetings and other company events.

    Handle incoming calls, direct and transfer calls, take accurate phone messages, and deliver phone messages,

    Greet onsite visitors every day from 8:00 a.m. to 5:00 p.m. and prepare coverage plans when absent.

    Assist with or fully complete monthly expense reports for managers and directors.

    Print, copy, scan, fax, and file

    Collect and distribute mail, schedule, and drop off overnight shipments (FedEx)

    Communicate important information to company.

    Gift ordering- birthdays, anniversaries, sympathy, etc. Including announcing these events via Teams Channels

    Facilities & Supplies

    Work with Executive Assistant on scheduling, building rules and compliance, office cleanliness and upkeep, office projects, and notifying building employees of any site-specific notifications.

    Restock break room supplies, office supplies and manage storage.

    Maintain cleanliness and functionality of office.

    Manage corporate apartment, including scheduling regular cleaning services.

    New Hire Onboarding Experience

    Support new employee onboarding including preparing desk for new hires.

    Send welcome email to new hires and ensure that new hire has been invited to correct DL's, team channels, and standing meetings.

    Tour new hire around office space, take picture and save to SharePoint and team drive.

    Send LinkedIn New Hire Announcement to new hire to complete and forward to Marketing.

    Perform other duties and responsibilities as assigned.

    Qualifications

    HS Diploma or equivalent and 3+ years of stable job experience in office administration.

    Demonstrate professionalism and communicate with proper business etiquette through different mediums.

    Well-organized, high-energy, extremely flexible, ability to handle multiple projects at one time.

    Must be able to lift on average 25 pounds.
