    Job Title: Assistant Controller

    The Assistant Controller assists the Controller and COO in overseeing the accounting (AR/AP) and payroll departments. They will be participating in the preparation and analysis of financial reports and providing essential support in managing client relationships and contracts.

    Job Responsibilities

    • Assists the AR/AP Department:
    • Audits vendor invoice discrepancies and informs the accounting team to resolve issues.
    • Reviews AR Aging reports and follows up with accounts that are not current.
    • Builds relationships with clients via email and phone.
    • Collaborates with Regional Managers in resolving troublesome accounts.
    • Assists the AR team to ensure collections efforts are effective and efficient.
    • Reviews weekly AR cash journal entries.
    • Directly assists in collection efforts if necessary for troublesome accounts.
    • Spearheads monthly meetings with Regional Managers regarding their outstanding accounts.

    Accounting/Financials:

    • Prepares weekly reports for the COO and Controller including - AR Aging Balance, AR Ineligibles, Cash Received, and status updates.
    • Reviews weekly Accounts Payable check requests.
    • Reviews monthly expenditures to ensure budgets are being met.
    • Reviews monthly bank reconciliations.
    • Completes monthly journal entries and reconciliations to assist in compiling financial statements.

    Client Management:

    • Builds and maintains strong relationships with new and existing clients to understand their needs and provide support as needed.
    • Audits client invoice discrepancies and informs the accounting team to resolve issues.

    Contracts and Agreements:

    • Maintains various reports that track client performance and status.
    • Assists the Contracts Coordinator as needed with developing/managing client service agreements.
    • Provides support on various ad hoc projects as assigned by Controller and COO.
    • Performs other related duties as assigned.

    Required Skills & Abilities:

    • Proficiency in MS Office skills; Word, Excel, Outlook.
    • Proficiency with Microsoft Office and advanced Excel abilities.
    • Understanding of basic accounting principles.
    • 3+year accounting experience as Accounting Manager, Assistant Controller.
    • Strong communication (verbal and written) skills.
    • Superb attention to detail and organizational skills.
    • Customer service oriented.
    • Ability to uphold a professional work environment.
    • Self-starter, ability to multitask and prioritize.
    • Embraces working in a team environment.
    • Experience with CRM software a plus.
    • QuickBooks experience required.
    • Basic knowledge of contract and agreement language.

    Required Education & Experience:

    • High School diploma or GED required.
    • Bachelor's degree in accounting or related field highly preferred.
