- Support co-owner and COO primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently.
- Maintain and refine internal processes that support Katie and coordinate internal and external resources to expedite her workflow and achieve project goals.
- Manage communication with employees and vendor contacts by liaising with internal and external suppliers on various projects and tasks.
- Plan and orchestrate work to ensure that priorities are met, organizational goals are achieved, and best practices are upheld.
- Manage scheduling for COO, including agendas, mail, email, phone calls, client management, and other tasks as needed.
- Coordinate scheduling and calendar management, as well as content and flow of information to and from COO inbox, voicemail and other methods of contact.
- Provide administrative and office support, to include but is not limited to, dictation, spreadsheet creation, presentation creation, and maintenance of filing system and contacts database.
- Maintain professionalism and strict confidentiality with all materials.
- Two or more years of experience in an administrative role. Reporting directly to upper management a plus.
- Excellent written and verbal communication skills
- Strong time-management skills and ability to organize and coordinate multiple concurrent projects.
- Proficiency with Microsoft office productivity tools and an aptitude for learning new software and systems.
- Flexible team player, willing to adapt to changes, unafraid of challenges, and ability to anticipate need.
- Must be able to maintain confidentiality of information related to the company and its employees.
- Experience with budgets, expenses, travel arrangements, time management.
- Experience with internal processes, filing systems, email, and other current technology.
- Microsoft Office Suite, Including Excel, Word, & PowerPoint.
