    Description

    Bentley Seed Co. is currently seeking an executive assistant to assist the Chief Sales & Marketing Officer (CSMM) with a multitude of projects and everyday tasks. The ideal candidate will be a proactive problem solver with exceptional communication skills and attention for detail. This person should have experience working in an office environment, performing administrative duties, and providing support to upper management. Given the dynamic and seasonal nature of the business, the executive assistant must be flexible and have the ability to switch gears as the business needs shift and fluctuate.

    Objectives of this role

    • Support co-owner and COO primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently.
    • Maintain and refine internal processes that support Katie and coordinate internal and external resources to expedite her workflow and achieve project goals.
    • Manage communication with employees and vendor contacts by liaising with internal and external suppliers on various projects and tasks.
    • Plan and orchestrate work to ensure that priorities are met, organizational goals are achieved, and best practices are upheld.

    Responsibilities

    • Manage scheduling for COO, including agendas, mail, email, phone calls, client management, and other tasks as needed.
    • Coordinate scheduling and calendar management, as well as content and flow of information to and from COO inbox, voicemail and other methods of contact.
    • Provide administrative and office support, to include but is not limited to, dictation, spreadsheet creation, presentation creation, and maintenance of filing system and contacts database.
    • Maintain professionalism and strict confidentiality with all materials.

    Required skills and qualifications

    • Two or more years of experience in an administrative role. Reporting directly to upper management a plus.
    • Excellent written and verbal communication skills
    • Strong time-management skills and ability to organize and coordinate multiple concurrent projects.
    • Proficiency with Microsoft office productivity tools and an aptitude for learning new software and systems.
    • Flexible team player, willing to adapt to changes, unafraid of challenges, and ability to anticipate need.
    • Must be able to maintain confidentiality of information related to the company and its employees.

    Preferred skills and qualifications

    • Experience with budgets, expenses, travel arrangements, time management.
    • Experience with internal processes, filing systems, email, and other current technology.
    • Microsoft Office Suite, Including Excel, Word, & PowerPoint.
