    Design & Construction Office Coordinator

    Company: Hudson River Park Trust

    Description: The Hudson River Park Trust is in search of an Office Coordinator to play a crucial role in providing administrative support to the Design & Construction Department. If you are someone who is driven, highly organized, and pays great attention to detail, this might be the perfect fit for you. Ideally, you have a background in either design or construction industries. As the Coordinator, you will be responsible for handling various project-related documents like drawings, submittals, and payment applications, among other tasks.

    Responsibilities:

    • Manage the processing of documents from internal and external project team members, ensuring accurate record-keeping and proper filing procedures.
    • Support the administration of Procore, our electronic project management software, to maintain project directories and templates.
    • Utilize Docusign for electronic signatures and oversee the document routing process.
    • Assist in organizing and maintaining document files, including drawings, specifications, and approvals.
    • Help with project file migrations, audits, and fulfilling Freedom of Information Act Requests.
    • Coordinate RFP/bid packages and assist with contractor outreach and reference checks.
    • Ensure office supplies are stocked, manage reprographics contract, and liaise with the IT department.
    • Provide administrative support to other Trust departments as needed.

    Qualifications:

    • Minimum 2 years' experience in design or construction document management.
    • Ability to work collaboratively as part of a team or independently to meet deadlines.
    • Proficiency in electronic document management systems.
    • Strong planning, organizational, and communication skills.
    • Experience with MS Office applications and data management using software like Excel or Access.
    • Capable of multitasking, setting priorities, and lifting boxes up to 20 pounds.
