- Manage the processing of documents from internal and external project team members, ensuring accurate record-keeping and proper filing procedures.
- Support the administration of Procore, our electronic project management software, to maintain project directories and templates.
- Utilize Docusign for electronic signatures and oversee the document routing process.
- Assist in organizing and maintaining document files, including drawings, specifications, and approvals.
- Help with project file migrations, audits, and fulfilling Freedom of Information Act Requests.
- Coordinate RFP/bid packages and assist with contractor outreach and reference checks.
- Ensure office supplies are stocked, manage reprographics contract, and liaise with the IT department.
- Provide administrative support to other Trust departments as needed.
- Minimum 2 years' experience in design or construction document management.
- Ability to work collaboratively as part of a team or independently to meet deadlines.
- Proficiency in electronic document management systems.
- Strong planning, organizational, and communication skills.
- Experience with MS Office applications and data management using software like Excel or Access.
- Capable of multitasking, setting priorities, and lifting boxes up to 20 pounds.
