- Day-to-day administration and coordination of all areas of executive support
- Proactively manage the executive's calendar with the ability to schedule and prioritize meetings, resolve schedule conflicts, and stay several steps ahead to maintain efficiency and ensure that nothing slips between the cracks
- Work closely and effectively with the President & COO to keep her well informed of upcoming commitments and responsibilities, following up as appropriate
- Schedule and coordinate meetings, visitors, and interviews including booking rooms and ordering catering if needed
- Project management of specific initiatives, coordinating and collaborating with other team members
- Organizing, obtaining signatures, and filing contracts, IP submissions, and other important documents
- Work with travel agency to book travel and prepare any necessary documentation for trips
- Submit expense reports for the executive team
- Communicate professionally with Board of Directors, Investors, and other key stakeholders
- Must be able to represent the team in a positive way to people both inside and outside the company
- Assist with various personal tasks for the President & COO
- Bachelor's degree with 10+ years' experience
- Prior experience providing administrative support to multiple executives and/or within team environment preferred
- Superior presentation, writing, and verbal communication skills; the ability to interact credibly and diplomatically with all levels in an organization
- Exceptional interpersonal skills: poise, gravitas and the ability to build relationships with stakeholders, including staff and board members
- Proficiency with G Suite and Microsoft Office
- Professional, courteous, and mature demeanor
- Strong organizational skills and superior attention to detail; ability to multi-task effectively is a must
- Strong problem-solving and decision-making capability
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Ability to provide support during scheduled meetings and events that occur outside of regular business hours
- Willingness to assume additional responsibility and learn new skills
