    Overview:


    The Area Accounts Payable Manager is responsible for assisting with oversight of the Complex Accounts Payable associates to include training, ensuring proper review, timely processing and communicating of all disbursements in accordance with Highgate Hotel's policies and procedures.


    Responsibilities:
    Maintain a warm and friendly demeanor at all times.


    Must be able to effectively communicate both verbally and written, with all level of employees and guests in an attentive, friendly, courteous and service oriented manner.

    Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.

    Must be able to multitask and prioritize departmental functions to meet deadlines.

    Approach all encounters with guests and employees in an attentive, friendly, courteous and service-oriented manner.

    Attend all hotel required meetings and trainings.


    Maintain regular attendance in compliance with Highgate Hotel Standards, as required by scheduling, which will vary according to the needs of the hotel.

    Maintain high standards of personal appearance and grooming, which includes wearing the proper uniform and nametag.

    Comply with Highgate Hotel Standards and regulations to encourage safe and efficient hotel operations.

    Maximize efforts towards productivity, identify problem areas and assist in implementing solutions.

    Must be effective in handling problems, including anticipating, preventing, identifying and solving problems as necessary.

    Must be able to understand and apply complex information, data, etc. from various sources to meet appropriate objectives.

    Must be able to maintain confidentiality of information.

    Must be able to show initiative, including anticipating guest or operational needs.

    Perform other duties as requested by management.

    Ensure correct payments are made in a timely manner.

    Maintain guidelines for proper handling and coding of invoices to maintain general ledger expense account and inventory records.

    Analyze expense reports and other invoices for accuracy and eligibility of payment.

    Verify payments before executive signatures are added by reviewing checks and vouchers.

    Reconcile accounts payable total and general ledger with other applicable records (e.g. vendor statements)

    Ensures proper recordkeeping of purchases for use in tax preparation and periodic audits.


    Ensure employer identification numbers or W-9 information has been collected from all vedors for the payables team to prepare and submit 1099s.

    Ensures proper maintenance, filing and storage of records according to Highgate Hotels policies in for audit purposes.

    Provide sister properties with accurate and timely intercompany rebill invoices.

    Respond effectively to internal guest and vendor inquiries in a timely fashion. Communicate all issues and/or disputes to operating departments and directors.

    Monitor and work with third-party accounting company to ensure accuracy of coding and appropriate backup.

    Attend and contribute to periodic meetings to maintain favorable working relationships between employees to improve morale, productivity and efficiency.

    Keep supervisor informed of any unusual events and/or deviations of policies or procedures.

    Maximize productivity, identify problem areas, and assist in finding and implementing solutions.


    Qualifications:
    High School diploma or equivalent required.

    At least one year of progressive experience in a hotel or related field preferred.

    College course work in related field helpful.

    Minimum of one year in a supervisory capacity.

    Ability to understand and utilize basic computer equipment and applications, to include word processing and spreadsheet applications.

    Flexible and long hours sometimes required.

    Travel between O'ahu based properties for support and training.


    Sedentary work – Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.


    Salary Range:
    $65, $75,000.00/ per year
