We are looking for an intake and records specialist to join our team.

Job Duties:

Respond to contacts from potential clients to obtain information about cases.
Onboard new clients to ensure smooth transition to case team.
Obtain signatures on necessary documents to begin representation.
Request and follow up on medical and billing records.
Request and follow up on law enforcement records.
Request and follow up on insurance records.
Request public records under open records laws.

Required Qualifications:

High School Diploma
Experience with office/administrative employment.
Familiarity with cloud-based computer software.
Ability to problem solve and work independently.
Desire and ability to function within a team environment.
Ability to track and organize completion of multiple ongoing tasks simultaneously.
Customer service skills.

Desired Qualifications:

Experience in legal field, particularly in personal injury cases.
Experience in medical field.
Paralegal certificate.
Bachelors degree
Experience with personal injury law

FAQ's

Do I need to be a paralegal?
- No, you don't. This role does not require extensive legal knowledge or training and will not involve legal drafting. A paralegal certificate may be useful to help you understand how your work fits into the big picture, but it's not essential. We have hired people for similar positions with no previous legal training with great success. The most important thing for this job is that you have organization and problem solving skills. If you have that, we can teach you the specific subject matter issues.
Do I need to have worked in a law firm before?
- Not necessarily. The skills needed for this position are the same as many office jobs require: organizational skills, communication skills, and computer skills. Like we said above, we can teach you the legal side. In some ways it's easier to teach the legal side than to teach problem solving skills.
Can I work remotely?
- Probably at some point, but not initially. We had a strong culture of flexible schedules before COVID and since then we've only improved our ability to function remotely. We have the technology and processes in place to make that remote work possible and effective once people are operating at a high level in their position. However, we've found onboarding and training to be difficult to accomplish remotely, so we'll need you in the office for at least the first few months. Once you pick everything up and as long as you're doing well, we're happy to talk about remote work some days. However, due to the nature of the position, it will not be possible for it to be fully remote.
What's it like working with you guys?
- I'm probably not the best person to ask that since I run the place. But for what it's worth, I think we're pretty great. Overall, we try to have a constructive and supportive work environment. Things get stressful at times, but for the most part I think our team gets along well.
When are you looking to hire by?
- The person in this position right now is leaving for graduate school at the end of July, so we are hoping to have someone on board by the end of June to allow for a few weeks of training from our current person. We plan to collect applications through mid-May, complete application review and interviews by early June, then make a decision. We expect the successful candidate will need to give two weeks notice, so that would take us into mid- to late-June.
