- Oversee daily administrative operations of the youth department, ensuring accuracy and adherence to YMCA policies.
- Greet and welcome all children, parents, and visitors with a friendly and professional demeanor.
- Manages youth department accounts receivable. Ensures daily deposits of all cash. Reviews the daily cash reconciliation. Reviews and follows up on returned checks and bank drafts.
- Coordinates month-end closing and provides reports to CFO.
- Manage and maintain accurate records of child registrations, attendance, and payments using the YMCA designated system. Maintains highly confidential files and correspondence for all youth department programs within license regulations.
- Maintain highly confidential up-to-date employee files for all youth department programs within license regulations.
- Maintains cash control, accountability procedures, and CCDF program.
- Possess an understanding and knowledge of Child and Adult Care Food Program (CACFP).
- Maintain CACFP food program files including daily/monthly paperwork, submit claims for reimbursement in a timely manner and accountability procedures.
- Maintains youth program enrollment and wait lists. Provides tours of the Forchetti Center and HLC Trojan Learning Center to prospective families.
- Assist directors with new employee onboarding processes. Demonstrates a settling presence, even during times of crisis and challenge; and helps resolve conflict in the work place.
- Supports teaching staff and is available to assist or substitute in the classroom.
- Serves as the point person at the branch for business questions.
- Oversees office functions such as petty cash, office equipment and supplies, etc.
- Manages purchasing of supplies and equipment for the youth department.
- Assists with other projects when needed and as directed by the CFO or COO.
- Supports assigned aspects of the annual support campaign for the youth department.
- Gathers relevant, valid data for grant reporting.
- Coordinate communication between parents, staff, and other stakeholders to ensure effective information flow. Including answering phone calls, responding to emails in a timely manner.
- Address parent inquiries, concerns, and feedback in a timely and professional manner.
- Collaborate with program directors and program coordinators to help coordinate events, meetings, and activities related to youth department services.
- Follow emergency procedures and safety precautions. Follow procedures for reporting all accidents, incidents, and hazards. Implement and enforce safety protocols to maintain a secure environment for children and staff.
- Adhere to all policies, rules, and regulations as outlined in employee handbook and other communications. Obtain and maintain required training(s).
- Stay informed about relevant regulations and standards to ensure compliance with licensing and accreditation requirements.
- Accept additional assignments as deemed appropriate, within the scope of the job description.
