- Assist team with new and ongoing data and document maintenance in our Client Relationship Management (CRM) and Document Management Systems (DMS)
- Receive, review, and process incoming mail, sending to appropriate team members
- Compile, scan and organize incoming data and documents
- Send outgoing mail, with heavy assistance during tax and holiday seasons
- Maintain CRM data
- Client Meeting Preparation
- Ensure all communication is "client ready" - Consistent, correct spelling and grammar, professional appearance, logically organized, etc.
- Use print and binding machine to compile and bind meeting materials
- Room setup and breakdown – including Audio/Visual equipment setup
- Order any food; handle delivery, setup, and clean up
- Webinar/Seminar registration
- Client Service Support
- Assist the Client Service Associates with enhancing the client experience – packaging client gifts, coordinating birthday cards, etc.
- Coordinate with team to track receipt of various paperwork for client signature
- Offer in-office support for remote team members
- Performs reception duties as needed
- Develops proficiencies in technology platforms to troubleshoot and offer support
- Special projects and other duties as assigned
- 2-3 years of office administrative experience preferred
- Strong initiative, interpersonal, organizational and communication skills
- Extensive background using Windows and Microsoft based products
- Ability to maintain extreme confidentiality in dealing with client matters
- Desire to work in a rapidly growing business with an extremely high degree of customer service expectations
- Must consent to and have favorable consumer report, background check and drug/alcohol test
- Ability to be proactive and anticipate issues; works quickly and proactively to solve them
- Willingness to learn, expand responsibility
- Experience with Salesforce or other CRM system a plus
- General knowledge and understanding of private client/personal financial services industry preferred
- Familiarization with entity structures (trusts, partnerships, corporations, etc)
