Description

Under administrative direction of the School of Art graduate leadership, the part-time Program Manager performs work of considerable difficulty in coordinating and directing the activities and functions of the School of Art graduate program.

This individual will play an integral role in providing comprehensive administrative support for two graduate degrees (MA, PhD) in the areas of art history and art education.

They will independently ensure that the goals and objectives of these graduate programs are accomplished in accordance with priorities, time limitations, funding limitations or other specifications.

The Program Manager will report to the Director of the School of Art.
This position is part-time.

Essential Duties

  • General Administration
  • Have a thorough understanding of university and unit policies and procedures.
  • Manage projects, including daytoday functions (coordination and integration of information) as well as long range planning and design, working with the academic professionals.
  • Represent the department/school/college and serve on/support graduate unitlevel committees.
  • Provide the daytoday direction and escalation for issues that require management resolution.
  • Supervise the activities of subordinates.
  • Develops and monitors daily operations and coordinates program/project activities, and supports the implementation of graduate initiatives.
Recruitment, Admissions, Retention

  • Supports the recruitment of graduate students utilizing the most appropriate promotional and marketing methods.
  • Develop a deep understanding of graduate student success initiatives and developing strategies to best implement them across the advising faculty.

These initiatives include, but are not limited to:

  • Interactive Plan of Study (iPOS)
  • Scholarship Portal
  • Salesforce
  • Graduate College Student Support
  • End of Term Processing
  • Graduate Admissions Campaigns
  • Configure and manage working tools and active spreadsheets for student tracking and recordkeeping to be comprehensive and streamlined for workflow efficiencies.
  • Construct and codify systems to support uniform processes for admissions decisions and RA/TA allocation for each degree area within the School of Art.
Program Development

  • Oversee the assessment of effectiveness for the graduate program(s) including analysis of results; takes or recommends proper action based on outcomes.
  • Participate in strategic planning initiatives, and other smallgroup strategy sessions to revise existing programs and design and implement new graduate programs.
  • Work directly with program chairs (area coordinators) on development of check sheets and handbooks.
  • Create and maintain internal documentation for daytoday training and development of assigned academic advising faculty, including provisional advisors and graduate committee chairs.
  • Supervise and facilitate the development of highimpact training materials, training content, training delivery modes, or workshops, meetings and conferences with program participants.
  • Supervise the preparation of graduate assistantship budget proposals; establishes expenditure controls and recommends the allocation of resources within the limitations of the budget.
  • Establishes and maintains liaison with graduate college in preparation of proposals for continued funding.

Minimum Qualifications


Bachelor's degree in a related field AND five years administrative/coordination experience; OR, Master's degree in field appropriate to area of assignment AND three years administrative/coordination experience; OR Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Demonstrated knowledge of and experience with curriculum process and higher education systems and related principles
  • Experience in project management and customer service
  • Evidence of effective communication skills
  • Experience in creating and updating website pages, including posting copy and loading images to websites
  • Experience using good organizational skills
  • Experience working with technical/specification writing and documentation

Working Environment

  • Use office equipment including a laptop computer
  • Lift up to 20 pounds
  • Work both independently and within a complex structured team
  • Normally receives no instructions on routine work and general instructions on new assignments with review of completed tasks.
  • This position is parttime
