    The Human Resources Executive Assistant has the primary duty of providing administrative support for the CHRO. They are required to exercise discretion and good independent judgment with effective use of customer service skills, problem solving skills, and leadership skills through thoughtfully anticipated scheduling, organizing, communication and project coordination. The Human Resources Executive Assistant is responsible for coordinating the annual Education Breakfast and Service Awards Dinner (with the help of the Employee Engagement Committee).

  • High School Diploma or equivalent
  • Five (5) years of Executive Assistant / Administrative Experience
  • Completed degree(s) from an accredited institution that are above the education requirements may be substituted for experience on a year for year basis
  • Proficiency in MS Office software including Word, PowerPoint, Excel, and Outlook
  • Superior writing skills, interpersonal skills, communication skills and organization skills
  • Creative, self-directed, detail-oriented, and devoted to accuracy and prioritization
  • Ability to think, plan and execute autonomously
  • Preferred Qualifications:

  • Associates degree in Business Administration, Human Resources, or another related field
  • Seven (7) years of Executive Assistant / Administrative Experience
  • Certified Administrative Professional (CAP)
  • Organizational Management (OM) certification
  • Microsoft Office Specialist (MOS) certification
  • Experience in healthcare
  • Experience in event planning
  • Duties and Responsibilities:

  • Customer service duties including answering phones, screening calls for CHRO, replying to email requests, and assisting CHRO with administrative needs (i.e., copying, faxing, ordering supplies, etc.)
  • Coordinate's meeting schedules, creates invites, and creates CWE meeting room reservations and/or WebEx meetings
  • Attends meetings as requested by CHRO; prepares materials, takes meeting minutes, set-up meeting rooms, and closure; saves and distributes minutes to all meeting attendees via email in a timely manner
  • Effective and timely communication with all CWE Departments, Executive Assistants to the Senior Leadership Team (SLT), and HR Leadership Team
  • Manages CWE contracts in Tract Manager to ensure the entire approval process meets the requirements for the Compliance Department
  • Completes the monthly credit card reconciliation
  • Manages the Telecommuting Agreement process
  • Coordinates interviews and travel for in-person candidates Leadership Team positions
  • Coordinates travel for all SJRMC/SJHP caregivers
  • Creates presentations, communication, correspondence, reports, legal documents, and other confidential written communications for CHRO (i.e., PowerPoint presentations, spreadsheets, Workday reports, etc.)
  • Processes PTO requests for CHRO's direct reports
  • Processes CWE expense requests for CWE Departments (i.e., expense reimbursements, department expenses, etc.)
  • Maintains and updated CWE Organization Chart
  • Manages CWE office space (i.e., assigns new CWE caregivers their offices, reviews requests for office changes, etc.)
  • Creates various work orders for CWE (i.e., I.T., maintenance, vendor requests, etc.)
  • Prepares mail and ships packages for CHRO
  • Creates food orders and schedules delivery for CWE staff as directed by CHRO
  • Maintains up-to-date standards and knowledge of administrative procedures and healthcare issues through review of accurate publications, workshops / seminars, and participation in professional associations
  • Provides the necessary resources to run the day-to-day activities of HR Operations to ensure efficient workflow and operation
  • Exercise's discretion and independent judgment with respect to matters of significance (i.e., human resource issues, employee relations issues, other highly confidential issues/information)
  • Compares and evaluates possible courses of conduct and acts or decides after various possibilities have been considered. You must also be able to make an independent choice, from immediate direction or supervision (this does not mean you have unlimited authority).
  • Provides coverage of the CWE Front Desk (i.e., lunch breaks, breaks, and scheduled or unscheduled absences by HR Receptionist
  • Participates as an active member of the Employee Engagement Committee to coordinate organization-wide events
  • Coordinates special hospital functions and meetings involving hospital staff, public representatives, etc.
  • Conducts research as directed by CHRO
  • Each caregiver is responsible for implementing SJRMC's Service Standards into their daily work: Safety, Courtesy, Effectiveness, and Stewardship
  • Other duties as assigned
  • Physical Demands and Environmental Work Conditions:

  • Prolonged periods of sitting at a desk and working on a computer
  • Occasional irregular work hours (to meet the needs of SJRMC)
  • Must be able to lift twenty-five (25) pounds
  • Occasional: lifting, carrying, reaching, bending, pushing, pulling, and stooping
  • Must be able to: talk (ordinary and conversations), hear (ordinary and conversations), and see (acuity: near and far, depth perception, and color vision)
