GENERAL SUMMARY OF POSITION:

The Customer Service / Office Assistant serves as a direct point of contact for UPI's customer and is responsible for taking customer orders, posting order into sales tracking and accounting system, communicating customer order requirements to factory warehousing and operations management and subsequent tracking UPI customer orders.

CORE & ESSENTIAL FUNCTIONS:

Responsible for taking customer orders, posting the orders to the accounting department, and tracking those orders to ensure on time delivery.
Process customer orders, identify and assess customers' needs to achieve satisfaction.
Assist with production work orders and product production estimates when necessary.
Print proper labels for the product containers.
Creates, print, and orders the product labels for specific products and companies.
Cross train with office personnel to perform appropriate tasks when necessary.
Answer phones, copy and distributes faxes and other documents.
Send out samples/ literature to sales vis Fedex/UPS/Transmittals.
Print, update and release batch ticket to production.
Payables and receivables.
Send out invoices.
Enter and update material SDS sheets.
Maintain Transmittal book.
Assist with plant documents and controls.
Issue work orders when needed.
All other duties as assigned.

QUALIFICATIONS & SKILLS:

Prior receptionist and administrative support experience is required. Possession of at least a high school diploma is required and a post-secondary degree is preferred. Must be results-orientated and able to work both independently and within a team environment. Proficiency in using Microsoft Office, Microsoft Excel and production management software will be necessary to perform essential job functions. Ability to work in a methodical and organized fashion. Must possess excellent verbal and written communication skills. Adherence to health and safety regulations (e.g. use of protective gear). Driving may be a requirement for this position. Therefore, must have the ability to travel domestically via operating a motor vehicle and maintain a valid driver license and driving record which is acceptable to our insurance provider. The ability to travel by plane and/or overnight travel may also be required.

WORK ENVIRONMENT:

While performing the duties of this job, the employee may be exposed to fumes, chemicals and/or airborne particles, high pressure fluids, moving mechanical parts and vibration.
