    Job DescriptionThe Facilities and Maintenance Manager is responsible for the overall maintenance and appearance of the hostel and performs the role in a very proactive manner, putting into place preventative measures to ensure long term functionality of hostel systems. The Maintenance Manger will direct the work of maintenance staff while working closely with management to plan and complete tasks and projects under fiscal and time restraints. This person will also have Fire/Life/Safety oversight and responsibilities. Both English and Spanish language fluency and literacy are required for this role.

    Responsibilities:

    Maintenance

    • Track and resolve all maintenance issues to ensure building systems are maintained and operating at maximum efficiency.
    • Maintain building in good working condition as to maximize asset value.
    • Provide leadership and management within the Maintenance department.
    • Instruct and assist maintenance team members in execution of physical repairs and projects, up to 50% hand's on maintenance duties.
    • Project Management of large construction projects, including contract negotiations and bid management; serve as point of contact for all maintenance vendors; coordinate inspections, meetings, and other NPS-related management functions; and work with management to plan and complete capital projects under fiscal and time restraints.
    • Hire, supervise, manage, motivate, coach, counsel, discipline, and train all maintenance staff. Conduct annual performance reviews of all maintenance staff.
    • Maintain a clean, accessible workspace.
    • Maintain appropriate inventory.
    • Ensure the facility meets all local and organizational required standards.
    • Create and maintain maintenance and capital timelines.
    • Manage the building preventative maintenance system including assigning work orders and following up to ensure that all work orders are professionally completed and recorded correctly.
    • Understand and oversee the budgeting and expenses of the department, and the priorities that evolve due to budgeting.
    • Respond to tenant service requests in a timely manner and maintain good client relations.
    • Oversee a key control process; assigning and making keys for the hostel as needed.
    • Maintain an on-going list of projects, and to plan a daily/weekly/monthly work cycle of those projects to insure completion in a timely fashion.
    • Review maintenance staff's worked hours for payroll compilation.
    • Prepare and procure bids for the negotiation of contracting work and submit a related report to management as needed.
    • Monitor and coordinate with subcontractors while they are onsite.
    • Ensure records for the property are maintained and up to date.
    • When emergency situations arise caused by natural causes (hurricanes, etc.) or anticipated events, be present on property for management of the crisis.
    • Assure all systems are working at maximum efficiency to reduce environmental impact.
    • Serve as champion of green operations and work cooperative with hostel operations to implement systems to conserve energy and water.
    • Anticipate capital improvements and develop budgets for them.
    • Any special projects or duties as assigned.

    Safety/Security/Fire Life Safety

    • Lead and manage safety committee meetings. Raise safety awareness, get employees actively involved in the safety program to help motivate employees to follow sound safety practices.
    • Maintain FDNY Certificate of Fitness Emergency One-Way Voice Announcement Personnel (F-53) and prepare logs and reports as required by FDNY.
    • Execute FDNY Fire and Emergency Drill Conductor Responsibilities (W-07) as described by FDNY. Execute Indoor Place of Assembly Safety Personnel Responsibilities (F-03) as described by FDNY.
    • Execute Supervision of Storage, Handling, and Use of Flammable or Combustible Liquids (C-92).
    • Monitor fire command station; respond appropriately to fire command signals and alarm.
    • Maintain all necessary licenses to comply with FDNY (must complete within 6 months of hire).
    • Work with management to cure any violations issued by government agencies.
    • Manage property camera surveillance equipment.
    • Conduct and document thorough investigations in the event of guest/staff incidents on the property. Complete and file incident reports for any injury, theft, burglary, accident, or other occurrences.
    • Assist with legionella water management daily and weekly testing.

    Skills/Qualifications:

    • High school diploma and minimum 3 years of experience in the trades, facilities and/or building maintenance.
    • Minimum 1-year management experience and strong leadership ability
    • Excellent written and verbal communication skills.
    • Familiarity with relevant state regulations.
    • Experience with renovation and/or property management.
    • Experience with plumbing systems, basic electrical, carpentry, drywall, and tile.
    • Basic proficiency with Microsoft Office suite and comfort using various technology platforms, apps and computer programs.
    • The ability to speak multiple languages a plus. Both English and Spanish language fluency and literacy are required.
    • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence.
    • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs.
    • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

The employee is occasionally required to climb ladders, balance, and access crawl spaces, or stand for long periods of time.

    The employee must regularly lift and/or move up to 75 pounds. Specific vision abilities required by this job included close and peripheral vision, color vision, depth perception, and the ability to adjust focus.

    The noise level in the work environment is usually moderate.
