Job Summary Provide fiscal management, analysis, budget development, provides supervision over the front office and administrative support for the activities of the Mississippi Gulf Coast Chamber of Commerce, Inc. in support of the mission of the organization to become the voice of business throughout Harrison County. Maintain and keep current all accounting of the Mississippi Gulf Coast Chamber of Commerce Foundation.
Job Emphasis Work in tandem with the Mississippi Gulf Coast Chamber of Commerce, Inc. team members to analyze, interpret and communicate financial operating results to each Director and Board, and the CEO of the Mississippi Gulf Coast Chamber of Commerce, Inc.
Evaluation Annual performance evaluation is administered by the Operations Manager and CEO of the Mississippi Gulf Coast Chamber of Commerce, Inc.
Administration
Maintain inventory control of all retail items and audit semi-annually.
Maintain listing of all property and equipment (fixed asset log) with useful life expectancy and provide to accountant for depreciation expenses.
Review all business insurance policies to ensure Company is properly insured, manage insurance audit process and assist with annual renewals of all insurance policies.
Process all account payables and account receivables and intercompany transfers of funds.
Reconcile all bank accounts. Manage and reconcile petty cash.
Process employee payroll to ensure the efficient handling of employees' pay, deductions and benefit payments. Maintain all personnel files. Pay all state and federal taxes. Issue W-2s and W-9s in January yearly. Oversee all employee benefits, i.e. health and life insurance and 401K. Administer onboarding of new employees.
Manage the Executive Assistant Liaison & Customer Service Leader to assist with management of invoicing, accounts receivable and general supportive administrative duties.
Work in tandem with the Mississippi Gulf Coast Chamber of Commerce, Inc. team members to aid in execution of program of work.
Assist in day-to-day office execution; filing, organizing, database entry, invoicing, answering phones/inquiries, greet visitors, registration for programs of work throughout Mississippi Gulf Coast Chamber of Commerce, Inc.
Financial Management
Evaluate, develop and recommend fiscal policy that will result in sound fiscal management for all Chamber divisions.
Maintain all official accounting records in conformance with generally accepted accounting principles. Ensure all financial decisions are made in compliance with applicable state and federal laws.
Act in a lead role in debt management to ensure the most efficient use of the Chambers borrowed monies.
Through the applicable treasury management products, work in tandem with Executive Boards, Directors and the CEO to manage all assets.
Work with each Director and Board, and the CEO to develop each annual budget. Ensure the various operating departments work within the financial parameters of their budget throughout the fiscal year.
Ensure that all key controls are in practice, suggesting and drafting new policy when appropriate to accomplish key controls.
Manage all operations pertaining to the Mississippi Gulf Coast Chamber of Commerce Foundation including processing all transactions, reporting and working with accounting firm to ensure compliance with state and federal laws.
Coordinate the annual audit and assist accounting firm with preparation of the Chamber's Comprehensive Annual Financial Report and tax return.
Membership Services
Serve as an information source and resource to members regarding benefits, opportunities, discounts, etc. Answer questions and provide assistance to ensure a high level of member satisfaction.
Process all accounts receivables including membership dues, sponsor payments, event registration fees, etc. Invoice members for renewal membership dues for all divisions of the Mississippi Gulf Coast Chamber of Commerce.
Set up onsite collection process for special events to collect registration fees and silent auction proceeds.
Other Duties
In a timely manner, complete special projects as assigned by the s, Operations Manager, Volunteer Chairs, President and or CEO.
Education, Skills, Abilities & Experience
Bachelors Degree in Accounting, Finance, Economics, Business or related field, preferred
3-5 years accounting / bookkeeping experience.
Experience working with a non-profit or at a Chamber of Commerce, preferred.
Must be able to travel independently to many Chamber functions.
Must be able to demonstrate proficiency in Microsoft Office Outlook, Word, QuickBooks, and Excel.
Must be able to work after and before office hours as needed and directed by the Board or CEO.
Experience leading and managing strategic initiatives related to accounting or finance.
Ability to interact seamlessly with executives.
Excellent written communication skills, excellent planning and organizational skills, and the ability to work with a small team and strong presentation skills.
