Alumni and Donor Records Specialist

Full-time; 40 hours per week; 12 months

Status:
Non-exempt (Hourly)

This position serves as a member of the university's Advancement Division and reports directly to the Associate Vice President of Advancement.

This position supports development and alumni relations activities by maintaining accurate demographic records in our donor database (Raiser's Edge/Blackbaud), supporting donor relations with scholarship management and backing up gift processing.

Characteristic Duties and Responsibilities

Update constituent data including: name, address, email, phone, employment, relationships, constituent and solicit codes, notes or preferences from the donor.
Research alumni/donors as needed for record updates.
Create new records as needed.
Process scholarship paperwork working with Financial Services and Donor Relations.
Process returned mail to determine if new addresses can be located.
Back up gift processing including entering gifts, running reports and sending acknowledgement letters.
Serve as the subject matter expert on donor record integrity
Complete tasks on time and meet standards for accuracy and completeness. Successfully manage and appropriately prioritize requests from colleagues using judgment of time required, effort and business impact.

Additional Responsibilities

Actively assist with other Advancement Division events/activities as needed.
Participate in professional development as needed and/or assigned by the Associate Vice President and/or the Vice President for Advancement.

Minimum Qualifications

High School diploma or GED.

* - 5 years of office or related experience with data entry responsibilities.

Ability to find creative, innovative and strategic solutions to problems/barriers.
Proficient in Micro Soft Office (Word, Excel, PowerPoint) and Google, savvy with virtual meeting platforms (e.g. Zoom, Google Meet), and experience with database data entry and reporting.
Demonstrates excellent organizational skills with ability to manage multiple tasks with competing/overlapping timelines/deadlines.
Strong interpersonal, collaboration, planning, problem-solving, time management and oral and written communication skills.
Demonstrates ability to work independently as well as in a collaborative fashion.
Maintains confidentiality and has good judgment when managing sensitive information.
Ability to promote and foster a highly professional and welcoming office environment for Bradley's internal and external constituents.
Ability to multitask, prioritize workload, and meet deadlines while keeping a flexible approach to the workplace.

Preferred Qualifications

Experience with Blackbaud Raiser's Edge NXT systems.
Previous experience within higher education, alumni relations, development or nonprofit environments.

Selected candidate must have the mental and physical capabilities to perform the essential functions of the position with or without reasonable accommodation.

Work is performed in normal office environment with little exposure to outdoor temperatures or dirt and dust. Working conditions are typically moderately quiet.
