- Schedules meetings, teleconferences, demonstrations and presentations, etc. Prepares and distributes agendas and may be required to generate and distribute meeting minutes within a timely fashion.
- Processes and schedules interviews, travel arrangements, etc., as required.
- Provides administrative assistance in all forms of daily activities and operations while ensuring that important matters are attended to on a priority basis.
- Open, sorts, and distributes incoming correspondence, including faxes and emails.
- Initiates written correspondence, reports, and presentations.
- Provides support including available background material related to or required for upcoming meetings.
- Liaisons with partners in the health system, as well as the UPG Executive Team, UPG Governance Boards, UPG Executive level Committees, and Clinical Chairs.
- Prepares check requests and processes expenses or invoices for payment in accordance with UPG budget and accounting guidelines.
- Recommends and implements necessary office systems and procedures to meet the varying needs of the respective department.
- Handles highly confidential and sensitive information, evaluates issues as needed and briefs management on requests, complaints, suggestions, etc.
- Establishes and maintains extensive files, including those related to committees, compliance, strategic planning, bylaws, human resources, finance and budgeting, etc. and proactively provides relevant filed material for issues under consideration.
- May provide supervision, guidance, direction, training and support to the administrative support staff and oversees that work.
- Provides leadership by modeling professionalism and expectation of standards to others.
- Completes other projects and tasks as requested.

Description
The Executive Assistant provides high-level administrative support to leaders of the University of Virginia Physicians Group (UPG) as well as to the managers and support staff as requested. The Executive Assistant will perform a variety of complex programmatic and operational support functions within respective departments. The incumbent is responsible for the efficient organization and operation of the department and is responsible for special projects as assigned.
MINIMUM REQUIREMENTS
Education:
Associate degree in business administration
Experience:
Four years of related experience.
Licensure:
None
Skills:
Intermediate knowledge of and experience utilizing a personal computer.
Intermediate knowledge of word-processing, spreadsheet, and presentation software required.
PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
