    Job Summary

    Join a mission-driven team at the Minnesota Department of Health (MDH) and contribute to protecting, maintaining, and improving the health of all Minnesotans. In this position you would provide and coordinate logistics, technical, and support services to the MDH Communications Office.

    Working as an Office & Administrative Specialist Senior, you will:
    • Provide administrative support services to assure that program objectives are met, and efficiency maintained.
    • Conduct procurement activities for the Communications Office.
    • Manage Communications Office equipment.
    • Assist with planning and logistics for meetings, special events and projects.
    • Assist with written and electronic materials produced by the Communications Office.
    Qualifications

    Minimum Qualifications

    One (1) year of experience working as an office specialist or similar role. This experience must include the following:
    • Customer service skills sufficient to provide prompt, courteous and accurate information to a variety of customers over the phone, in person and via email.
    • Knowledge of communication sufficient to answer telephones, direct calls and take messages.
    • Knowledge of standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect files.
    • Knowledge of document and records management sufficient to accurately file and categorize electronic documents or paper files.
    • Typing/keyboarding skills sufficient to complete a variety of legal documents and letters.
    • Knowledge of communications sufficient to write, prepare, and edit materials, using spelling, punctuation, grammar, and sentence construction.
    • Ability to operate the following office equipment: photocopiers, fax machine, personal computer, audio/visual equipment (including Teams hybrid/virtual meetings), multi-line phone system or softphone system.
    • Knowledge of basic accounting procedures sufficient to prepared itemized statements, bills or invoices, and record amounts due for items purchased or services rendered.
    Preferred Qualifications
    • Bachelor's degree in business administration or related field.
    • Three (3) years of previous experience working as an office specialist or similar role.
    • Working knowledge of State, MDH, and department-level operations, procurement, policies, and basic program information.
    • Knowledge of computer software programs such as Adobe Acrobat Pro, Microsoft Office Professional suite, Microsoft Teams, SharePoint.
    Physical Requirements
    • Must be able to work in a seated position for extended periods of time.
    • Ability to move and/or transport items weighing up to 50 pounds on a regular basis.
    • Use a keyboard and mouse for extended periods of time which may include repetitive motion.
