    Knute Nelson, based in Alexandria, MN, and Walker Methodist, based in Minnetonka, MN, two esteemed leaders in the aging services field, successfully merged on January 1st, 2024, marking a transformative step forward in their shared commitment to enhancing the lives of aging adults.

    KNWM seeks a proactive and organized Office Coordinator to join our dynamic team. As the Office Coordinator, you will play a crucial role in ensuring the smooth operation of our office environment. Your primary responsibilities will include managing administrative tasks, coordinating office activities, and facilitating effective communication both internally and externally. The ideal candidate will possess excellent organizational skills and attention to detail.


    Schedule:
    Full-time - Monday through Friday with occasional special events.


    Responsibilities:

    • Ensure timely ordering and maintenance of office supplies.
    • Organize executive leadership and senior leadership team meetings at Minnetonka, coordinating with the CEO's Executive Assistant.
    • Reserve and set up meeting rooms, and arrange for food delivery.
    • Assist senior leadership team members, including managing databases for the Foundation.
    • Plan celebration events for the south region office.
    • Handle notifications and manage fitness center waivers.
    • Update community rosters and maintain the Confidential Senior Leader List.
    • Process invoices through DSSI and assist with credit card reconciliation.
    • Make hotel reservations for trips to Alexandria.
    • Assist with various office projects as available.
    • Manage Outlook groups for Shared Services and Corporate Shared Services.
    • Facilitate business card orders.
    • Other duties as assigned by supervisor.

    Qualifications:

    • High school diploma or equivalent; additional certification or education is a plus.
    • Proven experience in office administration or related field.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
    • Strong organizational and time management skills with the ability to prioritize tasks.
    • Excellent communication and interpersonal skills.
    • Detail-oriented with a focus on accuracy and quality.
    • Ability to work independently and collaboratively in a team environment.
    • Flexibility to adapt to changing priorities and deadlines.
    • Knowledge of office equipment and procedures.
