- Assist the sales team with administrative tasks such as preparing proposals, contracts, and presentations.
- Respond promptly to inquiries via phone, email, and in-person meetings.
- Maintain accurate and up-to-date records of client interactions and sales activities using our CRM system.
- Collaborate with the sales team to identify potential leads and opportunities for business development.
- Work closely with clients to understand their event requirements and preferences.
- Coordinate all aspects of event planning and execution, including room setup, audiovisual equipment, catering, and guest accommodations.
- Ensure that all event logistics are executed flawlessly and according to the client's specifications.
- Conduct site visits with clients to showcase our event spaces and discuss their needs.
- Provide exceptional customer service to clients throughout the planning process and during events.
- Address any client concerns or issues promptly and effectively, striving to exceed their expectations.
- Act as a liaison between clients and internal departments to ensure seamless communication and coordination.
- Prepare and distribute event orders, banquet event orders (BEOs), and other necessary documentation to relevant departments.
- Assist with billing and invoicing for events, ensuring accuracy and timely processing.
- Maintain inventory of event supplies and materials, replenishing as needed.
- Previous experience in sales, catering, event planning, or the hospitality industry is highly desirable.
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong communication and interpersonal skills, with a customer-focused approach.
- Proficiency in Microsoft Office Suite and experience with CRM software preferred.
- Ability to work flexible hours, including evenings and weekends, to accommodate client needs.
- Detail-oriented with a high level of accuracy in all work activities.
