- Receive and transfer all incoming calls in prompt and courteous manner; take messages as necessary
- Greet visitors and direct to appropriate person/department
- Receive, send, sort and distribute daily mail, faxes, UPS, FedEx, Certified Mail, etc.
- Maintain, distribute and purchase office supplies, as necessary
- Provide clerical assistance to other departments, as schedule permits
- Ensure the lounge, reception and kitchen areas are clean, and supplied as needed
- Maintain conference room calendars and schedule meetings as necessary
- Store/save AP invoices received daily into Docuware with 99% accuracy.
- Review/work AP vendor statements to ensure invoices are entered for payment.
- Enter garnishments and sub-contractor invoices for AP.
- Assist AP to gather supporting documentation for company audits, upon request.
- Other duties as assigned
- 1-3 years previous experience in an administrative setting
- Intermediate to Expert level MS Office Skills, mainly Outlook, Excel & Word.
- Excellent verbal communication skills, including excellent command of the English language
- Good organizational skills, and must be able to work independently, with little direct supervision
- Good interpersonal skills and be able to interface with all levels of management
- Good judgment skills, and a high-level work initiative
- Understand and abide by all company and safety regulations and policies
- Understand company quality manual and procedures described therein
- Physical condition commensurate with the demands of the position
- Walking, stepping, climbing, or otherwise moving from one location on the job site to another.
- Standing, stooping, kneeling, squatting, reaching, climbing, or sitting for long periods of time.
- Repetitive movements by feet, shoulders, arms, wrists, hands, and back in the performance of work.
- This position operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Responsibilities: Full-time receptionist (8-5) and assist Accounts Payable with heavy data entry and other duties as assigned.
