Your Responsibilities

  • You are the central point of contact for all matters related to building services such as access management, cleaning (cleaning services and day maid; green plant care; coffee machines; water dispensers), and reception
  • You commission (especially at the beginning of the fiscal year) and manage external service providers according to maintenance and service contracts > management of ongoing and new commissions including extensions (in close cooperation with purchasing and procurement) of service agreements via BANF process, e.g. for consumables
  • You are responsible for office management: administration of the office shop and circulation, as well as ordering and issuing of business cards and stamps
  • You create the budget planning (1x per year budget planning, interim creation of a 1st actual expectation) as well as monthly provisions in cooperation with the controlling department
  • You support in relocation management as well as in the management of the central locking system
  • You manage the security deposit fund > deposit for ID cards and transponders for internal and external employees, approx employees/external daily including master data management/changes
  • You handle invoice verification and approval (approx. 2000 invoices per year for material approval and reconciliation with orders in SAP)
  • You may also support in other areas of facility management as needed
