    Description

    Provides assistance and support to Project Management teams where appropriate. Coordinate meetings, prepare invoices, prepare reports, and collect information to help the PM.

    Essential Functions

    • Perform a variety of administrative support tasks.
    • Data entry of weekly payroll using a combination of manual time sheets and automated data in an accurate and timely manner.
    • Match, code, enter and prepare daily work tickets, material invoices, receipts and delivery tickets and input data in system and project specific invoices.
    • Initiate follow up on any delinquent items.
    • Assist the Project Management Teams in various month end tasks.
    • Assist in preparing instructions and coordinate bidding process.
    • Implement assigned duties with an exceptional level of accuracy, timeliness and cost effectiveness.
    • Become familiar with each estimate to fully support its integrity.
    • Prepare subcontracts, purchase orders, and change order requests to be reviewed by the Project Managers.
    • Review the subcontract pre-billing worksheet, monthly progress payment request, and monitor payment receipts and disbursements.
    • Complete assigned internal projects on time.
    • Complies with company safety standards defined in the Safety Manual and follows appropriate protocol for reporting incidents timely to supervisor on duty or Safety Director.
    • Communicates regularly with team members to ensure work is completed timely.
    • Adhere to OSHA and MOSHA safety standards
    • Other duties as assigned.

    Knowledge, Skills, and Abilities

    • Possess a deep analytical understanding and problem-solving skills.
    • Excellent verbal and written communication skills.
    • Competent computer skills including proficient use of Word, Excel, Google Docs.
    • Skilled in rapid and extremely accurate data entry.
    • A keen eye to details and good decision-making skills.
    • Take direction from management.
    • Ability to build and maintain effective and professional working relationships with our workforce, project managers, Owners, architects, engineers, subcontractors, clients and/or suppliers.
    • Excellent organizational skills.
    • Possess a strong work ethic, and a high level of integrity.
    • Be self-motivated, and able to collaborate effectively in a team environment.
    • Ability to follow directions and meet deadlines.

    Education, Training, and Experience

    • Bachelor's or Associates degree in Accounting or equivalent work experience demonstrating progressive position related responsibilities in the construction industry.

    Work Context

    • Requires good manual dexterity (hand, hand with arm, two hands) and multi-limb coordination.
    • Must be able to sit or stand for long periods of time.
    • Required to regularly talk, hear, and communicate with others.
    • Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus.
    • This is a full-time, permanent position. Work hours may vary but are typically Monday thru Friday, 8 AM – 4:30 PM.
    • Normal work hazards associated with construction environment

    Special Requirements

    Must possess or be able to obtain a valid and appropriate state driver's license prior to employment.
