    Operations Specialist Job Description:
    The Department of Chemistry is seeking an Operations Specialist.

    This position will work with the facilities and operations team within the Department of Chemistry, overseeing the Chemistry Chemical Stockroom and Central Receiving.

    Duties and responsibilities include, but are not limited to:

    Stockroom Operations


    The operations specialist is responsible for the daily management of the Chemical Stockroom operation, which consists of ~$20,000 in monthly sales and over 2,000-line items offered.

    Management of these activities includes personnel staffing during business hours, reviewing inventory levels to ensure adequate inventory is available, procuring chemicals/supplies/compressed gas as needed, and providing updated financial information to the Chemistry Fiscal team for monthly billing to departmental lab groups.

    Responsible for the development of the annual recharge rates for items offered for sale and creating the stockroom budget to ensure all costs (including OPS personnel) are covered by these recharge rates.

    Central Receiving Operations

    The incumbent will function as the central receiving contact for all departmental deliveries.

    This includes personnel staffing during receiving hours, tracking all inbound departmental packages for freight and ground shipments, performing problem resolution, and serving as the liaison with internal and external customers.

    Receives and distributes all departmental USPS and interdepartmental mail.

    Facilities Management Operations

    The incumbent will assist the departmental maintenance mechanic and maintenance specialist with facilities support items.

    This will primarily include monitoring incoming work orders via email (or phone), contacting the maintenance staff to alert to the issue to investigate, placing Facilities Services work orders as needed, and contacting outside vendors to obtain maintenance repair quotes or service.

    Additionally, hands-on maintenance support might be required. Manages the departmental fleet inventory, including maintenance/repairs and reservations by faculty/staff.

    Physical Security Operations


    The operations specialist is responsible for the management of the departmental key inventory for all departmental facilities and serves as the official Key Custodian.

    The incumbent will maintain an accurate record of all available room, master, and mail keys throughout the department, and routinely audit for accuracy.

    Will function as primary Lenel access control for Scott Family Hall.

    Includes assigning access by PI level, programs holiday and event schedules to ensure proper access to facility outside of normal business hours, and audits at least annually to verify access compliance.

    The operations specialist will participate in the onboarding/offboarding process for access assignments, whether electronic or physical. Also, responsible for placing Facilities Services work orders for lock repairs, key replacement, and any issues with Lenel.

    Lab Safety Operations

    This position will be responsible for auditing/updating the departmental lab safety signage for accuracy.

    This includes the posted entry signs with PI name and contact numbers, the posted departmental emergency response signage posted on the inside of the lab door at exit, auditing each lab to ensure an emergency use phone is installed in each functioning lab.

    Additionally, the incumbent will monitor the collection of recyclables "cleaned" labware and solvent containers at the loading dock and dispose of containers at the Facilities Services Bullpen.

    Also, the operations specialist will keep the low-pressure nitrogen dewar adequately filled for lab users in the nitrogen tank yard and complete the monthly nitrogen meter readings at each physical lab and update the Chemistry Fiscal Office for monthly billing.

    Operations documentation & improvements


    The operations specialist, with assistance from the Director of Operations, will be responsible for creating (or updating) all operational support SOPs that relate to facilities management operations, stockroom, receiving, physical security, and departmental lab safety operations (excludes lab use-specific SOPs) to ensure business continuity.

    Reviews current operation workflows and suggests improvements to the Director.

    Other duties as assigned.

    Expected Salary:
    The salary is $40,000 - $49,300, commensurate with qualifications and experience, and the compensation includes a full benefits package.

    Minimum Requirements:


    Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.


    Preferred Qualifications:
    Knowledge of EH&S Chemical Hygiene Programs and retail store experience preferred.
