    WhatYou'll Do

    The Volunteer and Student Coordinator is responsible for organizing andmaintaining the complex volunteer and student schedule, supporting the deliveryof health care services in all clinics, inclusive of onboarding new volunteers,corresponding with volunteers and students, and coordinating all logisticsassociated with Siloam student preceptorship.

    Volunteer Coordination

    Onsite Volunteers:
    • Advisesand supports Siloam managers in developing job descriptions for volunteer rolesaccording to the needs of their departments
    • Workswith the manager of Siloam's website to post open volunteer positions
    • Processesincoming applications and adds new volunteers to the volunteer database
    • Conductsorientation for new volunteers, including tours and Siloam information videos
    • Presentstraining videos and Powerpoint presentations as applicable to new volunteersincluding HIPAA, medical interpreting, and clinic support training
    • Managesvolunteer access to electronic medical records, including set-up at the startof the volunteer service and inactivation when their service ends
    • Placesvolunteers in active service at the main office and/or at satellite office(s)by matching their skills, qualifications, and interests with the needs of theorganization
    • Maintainsthe volunteer schedule for multiple clinic locations which includes fulfillingdaily clinic needs through timely communication with staff and volunteers(through email, online calendars and the volunteer management database)
    • Assistswith password resets in athenahealth for volunteers, students, and Siloam staff
    • Createsa weekly volunteer calendar as a reference for the clinic shifts each week, formultiple clinic locations
    • Managesvolunteer laptop scheduling and checkout, including facilitating repair oflaptops and resolution of performance issues
    • Ensuresvolunteers are aware of the volunteer policies and procedures that apply totheir roles
    • Maintainsrecords in the volunteer database system including tracking and providingstatistics as needed for periodic reports
    • Evaluatesprograms and services delivered by volunteers and assesses areas forimprovement
    • Createsand distributes periodic surveys to volunteers and staff to evaluate theeffectiveness of volunteer efforts.
    Nashville Neighbors Volunteers:
    • Processesincoming team leader and team member applications, consents, and backgroundchecks, storing these items in the volunteer management software
    • Createsa team roster for each team in the NN Google drive using the list of namesprovided in the team leader's application
    • Alertsthe NN Program Manager of newly formed teams
    • Sendswelcome emails to NN Team Leaders which include a link to the team roster andexplains the team leader's responsibility to hold members accountable tocomplete the application process
    • Updatesthe team roster as team members complete their applications, so the team leaderis aware of each team member's application status and can send reminders asappropriate, and so the NN Program Manager can send reminders to the teamleader if necessary
    StudentCoordination
    • Processincoming preceptorship forms, discuss availability with the preceptors, thennotify the students of the application status.
    • Establishesand coordinates a Training Calendar which involves the following:
      • Matchingrequests for clinical rotations to preceptor availability
      • Maintainingcommunication with academic institutions to ensure that dates for rotations areclearly understood
      • Coordinatingthe trainee's schedule with the preceptor's schedule
    • Facilitatesnew trainee orientations
    • Managesthe training schedule, ensuring the trainee's progress through the plan
    • Managesstudent and resident access to Athena (EMR) with set-up at the start of theirrotation and inactivation when their rotation ends
    • Assiststhe Student Education Director with miscellaneous projects (fundraisingmailings, curriculum assembly, etc.)
    • Organizesand maintains live training workshops
    • Participatesin on-going quality improvement (QI) activities within the roles defined above
    • Performsother duties as assigned by the Student Education Director
    Other Duties
    • Welcomes Siloam visitors and leadstours

    Who We Are Looking For

    Education andExperience
    • Bachelor'sdegree preferred
    • Twoyears of relevant experience preferred
    • Bilingual in Spanish or Arabic preferred
    Qualifications
    • Passionate about Christian ministry to the underserved and infull agreement with Siloam's mission and core values.
    • Willingness to serve persons with limited access to healthcareand who are from different cultures and faith beliefs
    • Computer literacy and familiarity with MS Office products aswell as electronic medical records preferred and willingness to learn newsoftware applications
    • Adherence to OSHA and confidentiality requirements

    • Skilled at communicating clearly through email, phone andface-to-face
