    CCF is hiring a temporary event manager as part of the Marketing and Communications team.

    Reporting to the director of marketing and communications, this temporary position is responsible the logistical and technical planning and execution of the California Community Foundation's (CCF) signature events designed for donors, advisors, grantees and others.

    The position will also provide general support to the marketing and communications team. This is a temporary position, beginning in December 2018 and running through April 2019.

    Major Responsibilities:

    Event Management:


    Collaborates with supervisor, leadership and staff to execute strategic events that will advance the mission of the foundation through donor cultivation and community engagement.

    Based on the goals of the event, assists in determining optimal event format, program flow, venue and set-up. Responsible for event planning timeline to ensure that deadlines are being met. Researches, negotiates and contracts with vendors including venue, caterer, rentals, photographer, AV technicians, etc. and coordinates closely with vendors throughout planning process to ensure that event needs are fulfilled.

    Oversees attendee communications including design, production and distribution of invitations to targeted guest list and provides any necessary communications to invited guests.

    Plans and manages all onsite logistics including event flow, staffing assignments, CCF branding and signage, audio/visual needs and ensures that program runs according to schedule.

    Establishes and maintains event finances including budget, vendor invoices, check requests, and reconciliation. Provides status updates to supervisor, leadership team and staff as needed.

    Convening Center Support:
    Provides support to CCF's Joan Palevsky Center for Future of Los Angeles convening space.

    As a member of the back-up team, will be trained to operate the center and available to staff the space when back-up coverage is required.


    Event and Vendor Research :

    Researches and evaluates potential venues and vendors to determine those that would be appropriate for CCF events, including establishing criteria for suitable vendors, conducting site visits, evaluating costs and budgets, and negotiating the rental of event spaces, audiovisual equipment, food and beverage service and other services and products.

    Maintains relationships with vendors and venues, exploring options as needed, to ensure CCF receives best possible rates.

    Departmental :

    Supports departmental operations such as writing, proofreading and/or editing publications and materials, social media and administrative tasks such as research and database management.


    General :

    As appropriate, assists other departments and works as a member of interdepartmental teams to ensure the effective and efficient operations of CCF.

    At all times, demonstrates cooperative behavior with supervisors and coworkers. Other duties as assigned, dependent on organizational needs and employee skills.

    Qualifications:

    Experience :
    Minimum of two to three recent years of similar event management work experience required. Experience with graphic design and writing and/or previous work in a marketing department preferred. Prior nonprofit experience a plus.

    Communication Skills :
    Strong interpersonal, written, and verbal communication skills.

    Technology Skills :

    Internet competency and strong computer proficiency, including mastery of the Microsoft Office software suite and a familiarity with database software.

    Understanding of event technology including audio visual support needs.

    Working knowledge of Blackbaud software preferred, with a willingness and ability to learn appropriate database, spreadsheet and other computer programs.

    Experience with Adobe Creative Suite (InDesign, Illustrator, Photoshop) a plus.

    Project Management Skills :
    Excellent organizational skills and attention to detail. Ability to prioritize work effectively and adjust to multiple demands within set deadlines.

    Problem-Solving Skills:
    Must be an efficient, well organized, detail-oriented, creative, energetic, flexible, problem-solver who can handle multiple requests and tasks. Must have ability to and experience in developing and adhering to budgets and timelines.
    Team Work & General Skills : Ability to work well independently and as team member. Ability to take initiative and follow tasks through to completion. Ability to work with a team to achieve CCF's goals, leveraging each team member's skill set.

    Working Conditions:
    Requires the ability to sit and work at a desk for several hours at a time.

    Requires the ability to travel and attend meetings, presentations and events outside the office, which may require occasional use of a motor vehicle for transportation to other locations.

    Due to the nature of external appointments and/or responsibilities requiring travel to locations not easily accessible by public transportation, driving is an essential job responsibility for this position.

    This position is required to be available to speak with clients and/or others while away from the office and/or with clients and/or others located in other time zones outside Foundation business hours.

    Work may require weekends and/or extended work day.
    Punctuality and satisfactory attendance are essential functions of the job.
    Must be able to lift and carry up to 25 lbs.

    Compensation:
    This is a temporary, full-time, non-exempt position. Salary is dependent on experience and qualifications. A generous benefit package is provided to all full-time staff, including medical, dental, vision and parking or transportation.
