- Supervises all invoicing including recurring and adhoc.
- Supervises all Payment applications and assists with monthly reconciliations with the banks.
- Provides report of reconciled paid invoices for variable compensation calculations.
- Responsible for custom invoicing and invoicing foreign customers with special instructions.
- Handles setting up new billing fees, so they map to the general ledger properly and the description is accurate on the invoice.
- Provides support with researching and solving issues with applying cash receipts or payment discrepancies on customer accounts.
- Supervises communications for reporting billed, paid, and outstanding AR. Creates and provides specific reports when requested.
- Maintains all outstanding AR to be sure collections is achieved by the offices and brokers responsible.
- Handles new acquisition or new office billings and setting up all tasks prior to delegating to other staff.
- Responsible to ensure segregation of duties with handling payments and credits on account are adhered to.
- Supervises that support for all Accounts Receivable transactions are properly archived and maintained including customer agreements, changes in billing and payment history.
- Develops, maintains and organizes record-keeping system to handle audit requests internal and external.
- Participates in developing enhanced reporting and effectiveness of the Accounts Receivable department.
- Bachelor's degree preferred
- Work experience in Accounts Receivable (3-5 years)
- Proficient in Excel is preferred
- Proficient in Oracle is preferred
- Bi-Lingual in Spanish a plus
- Strong work ethic with emphasis on organization and attention to details
- Must be able to meet deadlines and possess good problem solving skills
- Accurate and efficient data entry skills
- Ability to work in a team environment and maintain a positive attitude
