    The Marines Services department at JM Family is looking for a Senior Marine Services Admin


    The Senior Marine Services Admin plays a crucial role in coordinating cruises, managing administrative tasks, and ensuring smooth marine services operations.

    This role is essential and contributes significantly to the overall success of the Marine department and JM Family.


    Responsibilities:

    • Coordinate local and island cruises with hosts (includes Moran family, trustee/board members, VPs, managers) and admins.
    • Manage the Marine department cruising calendars.
    • Prepare and notify necessary parties for approval of the Trip Request Forms in DocuSign for each trip.
    • Work closely with the Aviation admin team to schedule cruises and provide continuous follow up.
    • Create/update host guides for each island destination utilizing Adobe InDesign and Photoshop.
    • Work closely with crew regarding Marine operations which requires more collaboration.
    • Manage guest gifts by presenting new ideas/items that are both cost effective and relevant.
    • Assist new crew with new hire paperwork and documentation.
    • Make necessary purchases for the department and reconcile monthly purchase/credit card expenses.
    • Maintain inventory for all Marine department publications.
    • Manage office supplies in the department (process supply) requests from crew, ensure office has necessary supplies and order yearly planners for crew).
    • Cross-train with the department Analyst on current duties.
    • Backup for Analyst with submitting EPR (procurement) and Vendor Risk Management requests.
    • Backup for Analyst in processing invoices through NetSuite and processing expense reports through Concur.
    • Assist Analyst with annual budget.
    • Other duties as assigned.

    Qualifications:

    • High school diploma required.
    • Minimum 3 years' experience in an administrative capacity required.
    • Solid PC skills including knowledge of MS Office (Word, Excel, PowerPoint, Outlook).
    • Knowledge and experience with Concur, Cvent, NetSuite, Power BI, Power Automate, Power Apps, Adobe InDesign and Adobe Photoshop, highly preferred.
    • Ability to make good decisions when under pressure or when unexpected situations arise.
    • Proficiency in effectively interacting and communicating with senior leadership.
    • Being able to work collaboratively across various functions, departments, and with a diverse range of colleagues at all levels is a valuable skill.
    • Excellent time management, planning and organizational skills and the ability to manage multiple and changing priorities efficiently and effectively in a fast-paced environment.
    • Ability to contribute individually with minimal supervision and as part of a team exhibiting above-average initiative and follow-through on assignments.
    • Ability to establish and maintain effective relationships with guests and leaders and gain their respect and trust.
    • Excellent writing, communication, proofreading skills, and attention to detail.
    • Ability to travel domestically and internationally up to 10% of the time for corporate events.
