    Geosyntec has an exciting opportunity for an HR Compliance Coordinator in our Boca Raton, FL office. The position plays an integral role in ensuring detailed, timely and legally compliant administration, maintenance, reporting, tracking, and auditing of global HR compliance areas, heavily focused on pre- and post-employment drug/alcohol and background screenings, and PO/invoice processing. The role also assists with other compliance related processes, such as unemployment and workers compensation claim filing, and reporting. The position requires a proactive approach, strong organizational and detail orientation skills, and a commitment to upholding regulatory standards.

    Essential Duties and Responsibilities:
    • Manage client-driven drug screening and background check programs. The incumbent can expect at least 50% of the weekly work to require interactions and relationship building with employees, project managers, and our vendors to ensure the processing of screenings in line with FCRA, DOT and other applicable laws, creating and maintaining policies and procedures, internal intranet site and guidance, client/vendor, and HR files and other related documents as required by clients or law.
    • Evaluate drug screening and background check results for clearance and provide to employee; escalate flagged non-negative drug screenings and/or background check results to appropriate parties for pre-adverse/adverse actions review.
    • Maintain drug screening employee participation pool data. Manage client specific drug screening vendors to coordinate random monthly and quarterly selections and screenings; research and stay up to date on local and federal drug testing and background check requirements, including, DOT history forms, agency specific forms, etc., and research and manage the reasonable suspicion and return to duty processes in line with client and legal requirements.
    • With an understanding of the company Drug-Free Workplace Policy and varied client protocols, review Master Service Agreements (MSA) for drug screening and/or background check site access requirements and advise project management of the process forward to ensure compliance.
    • Work directly with drug screening and/or background check vendors to create, maintain, or update appropriate drug panels and/or testing requirements.
    • Manage client driven audits (NCMS, ISN, DAMIS, etc.), ensuring accurate statistical report data, drug screening panels, Non-DOT and DOT pre-employment authorization documentation and required site observations forms (if applicable) are provided in a timely manner.
    • Collaborate with relevant departments to handle client specific safety monitoring platforms set-up; and respond to compliance questions surrounding the companys drug screening and/or background check policies.
    • Maintain and update state-specific and other compliance postings and state leave law update; ensure compliance with legal changes and requirements; and communicate changes to HR POCs; and maintain related vendor relationships.
    • Administer and track employee compliance training; provide late completion reports to escalate compliance as needed.
    • Assist with immigration repayment agreements and related expense tracking and invoice processing.
    • Assist with workers compensation claims filing, and periodic compliance reporting.
    • Process and respond to unemployment claims in line with company procedures, ensuring accuracy of termination reason with appropriate HR manager.
    • Assist with affirmative action outreach efforts and tracking in compliance database.
    • Maintain SharePoint sites in areas of focus;
    • Continually identify opportunities for improving processes, tools, and efficiencies in all compliance areas, maintaining, and creating related procedures as necessary; and
    • Perform other HR compliance related duties of varying complexity and confidentiality, as assigned.
    Skills, Experience and Qualifications:
    • Associate degree and at least 3 years of related experience; or equivalent experience supplemented by course work in Human Resources or related field. (required)
    • Strong MS office software proficiency including Word, Excel (including formatting, formulas, v-lookups, etc.) and PowerPoint. (required)
    • Experience working with HR Information Systems (HRIS), Applicant Tracking Systems (ATS), and screening vendor platforms. (required)
    • Knowledge and experience with employment law and HR practices including compliance concepts and procedures. (required)
    • Exceptional attention to detail, time management, multi-tasking, and organizational skills. (required)
    • Availability to work overtime on occasion if required by project demands. (required)
