    POSITION SUMMARY

    The Event Designer serves as a bridge between the Sales and Operations teams and creates compelling and logistically sound client programs, ready for operational delivery. Core responsibilities of this position include pre-event planning and program development; supplier engagement, negotiations and management; program costing; proposal and contract creation; and administrative support. This fast-paced, deadline-driven position requires a deep understanding of event planning fundamentals and the Seattle hospitality supplier landscape; creativity and attention to detail; a dedication to accuracy; strong communication skills, both verbal and written; organization; and resourcefulness.

    JOB RESPONSIBILITIES

    Program Design

    • Provide comprehensive event strategy and consultation from opportunity to file turnover
    • Attend and participate in collaborative brainstorming sessions to understand customer needs, identify best-fit solutions and determine proposal strategy
    • Guide decision-making with logistical insight based on past operational experience
    • Source suppliers and collect necessary information including deliverables and costs
    • Create program costs and Estimated Services Summaries for proposals and contracts
    • Compose visually compelling program proposals and capabilities decks
    • Produce accurate and detailed program contracts
    • Review proposals, contracts, costsheets and Estimated Services Summaries for accuracy, profitability and operational feasibility
    • Manage supplier bookings to include supplier holds and cancellations
    • Prepare programs for turnover from Sales to Operations
    • Attend program turnover meetings and contribute event, tour, costing and supplier insight
    • Conduct post-program review of offerings, recommend and implement changes as it relates to costing and pre-program logistics

    Department & Administrative Support

    In collaboration with leadership:

    • Compose, document and communicate program development process standards from opportunity to program turnover
    • Implement and maintain a library for all program development assets
    • Implement and maintain a vendor database to include key contacts, offerings and logistical information
    • Assist in the ongoing development of proposal, costsheet, contract and SHW capabilities templates

    Vendor Engagement & Management

    • Research, develop and contribute ideas for new event and tour offerings
    • Assist in the development and curation of SHW's catalog of event and tour offerings
    • Attend vendor meetings and industry networking events to develop relationships and keep up to date on current trends and offerings
    • Communicate to internal team new vendors and offerings as they arise

    Sales Support

    • Coordinate site visits and supplier appointments as needed
    • Attend customer meetings, site visits and conference calls as needed

    General

    • Provide program development, marketing and administrative support to SHW teams outside the Destination Management & Incentives sphere as needed

    EDUCATION & QUALIFICATIONS

    • Minimum 8 years in event planning/event operations experience
    • Capable of working independently or as a key contributor or leader on a team
    • Self-starter, capable of handling a fast-paced, high-stress environment
    • Able to effectively manage and handle multiple tasks and stakeholders simultaneously, while remaining detail oriented
    • Extreme attention to detail and strong organization and time management skills
    • Quick thinker and creative problem solver who can deliver on time and within budget
    • Excellent consulting, writing, editing (photo/video/text), presentation and communication skills
    • Highly proficient in Microsoft Office suite products, specifically PowerPoint, Excel and Outlook
    • Knowledgeable of Adobe Suite of products like InDesign, Illustrator and Photoshop a plus
    • In addition to remote work, ability to work in downtown Seattle and attend industry events and meetings in the Greater Seattle area
    • Working knowledge of event suppliers, venues and offerings in the greater Seattle area
    • On the pulse of event industry trends and best practices
    • Ability to stand/walk for extensive lengths of time and to lift 20 pounds maximum with frequent lifting and/or carrying of objects up to 10 pounds
