We are seeking a dynamic and organized receptionist to oversee the smooth day-to-day operations of our practice while providing exceptional customer service to our prospects, clients, and team members.

This role plays a pivotal part in ensuring that every interaction with our firm leaves a lasting positive impression.

Requirements:


  • Excellent communication and interpersonal skills
  • Strong organizational abilities and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Prior experience in a customer service or administrative role is preferred
  • High school diploma or equivalent qualification

Responsibilities:


  • Answer incoming calls in a friendly and welcoming manner
  • Maintain an organized, compliant, and efficient filing system
  • Sort and distribute incoming mail promptly
  • Assist with copying or scanning documents as requested by the team
  • Retrieve client files as needed by the team
  • Keep all brochures, packets, and handouts stocked and up to date
  • Ensure beverages and snacks are available for clients and maintain a running list of pantry items needed
  • Manage the advisor's calendar, including appointment rescheduling and updating the office calendar with advisor schedules, meetings, and events
  • Order and manage office supplies to ensure adequate stock levels
  • Greet and direct visitors at the front desk energetically and appropriately
  • Prepare daily review sheets for clients with accurate account information
  • Coordinate efforts for food drives, including contacting the food bank for pickups as necessary
  • Work with Office Manager daily to discuss office flow, areas for improvement, and streamlining ideas
  • Be available for approximately four client events throughout the year (45 hours approximately per event)
  • Work alongside Marketing Department on calls to clients and prospects as needed
  • Maintain cleanliness and organization of the lobby, kitchen area, and other designated areas
  • Ensure all lights and electronics are turned off before closing

Salary:

- $20/hr


Benefits:


  • 15 Days PTO per year plus 10 Paid Holidays
  • Monday through Thursday 85 schedule with Fridays closing at 1:00

  • Monday
  • Thursday: 8:00 am 5:00 pm
  • Friday: 8:00 am 1:00 pm
