    Academic Services Officer I/II

    Wayne State University is searching for an experienced Academic Services Officer I/II at its Detroit campus location.

    Essential functions (job duties):

    JOB PURPOSE
    Coordinate updates to the university bulletin with academic and administrative units. Maintain the university's master course inventory. Manage processes for new course proposals or course modifications. Interact with the Class Scheduling unit to ensure courses are configured correctly.

    Interact with Degree Audit unit to ensure course changes are documented appropriately in the university curriculum and are enforced in the degree audit software.

    Prepare dormant course reports for evaluation of courses that should be made inactive.

    Act as the university administrator for the CourseLeaf CAT and CIM software used by the university to manage curriculum, course inventories, and bulletins.


    ESSENTIAL FUNCTIONS
    In collaboration with the Provost's Office, coordinate the review, editing, updating and publication of the university's bulletins.

    Manage additions and changes to the university's course inventory. Ensure approvals from all levels of academic administration, including faculty, chair, dean, and Provost are secured. Ensure course inventory is updated in the Banner system so that course sections can be created.


    Interface with faculty, academic staff, and academic leadership to ensure adoption and enforcement of university course and program related policies.

    Manage additions and changes to the university's program inventory. Ensure approvals from all levels of academic administration, including faculty, chair, dean, and Provost are secured. Ensure approved additions and changes are accurately reflected in the university Bulletin.

    Manage the CourseLeaf software used for production of the Bulletins and curriculum management. Test software as new applications or upgrades are implemented. Maintain and update proposal forms used for curriculum management. Set up and manage approval queues, ensuring all steps in the shared governance process are repected.


    Verify all relevant academic policy and processes are followed, including but not limited to the policy on course schedule types and credit hours.


    In consultation with the Associate Provost for Academic Programs, set the schedule and deadlines for the annual curriculum management and bulletin review cycle.

    Provides periodic reports regarding course material fees, program moratoria for communication to the Board of Governors.


    Working with the Degree Audit team, ensure degree requirements match those approved by the departments and are consistent with what is published in the Bulletin.

    Consult and coordinate with chairs, advisors, and associate deans as appropriate.

    Enforce the proper use of course numbers, subject area codes, and course levels. Edit course descriptions for bulletin copy.

    Serve on committees, working groups, etc. in order to support the program and curricular goals of the university.

    Qualifications:

    Education:
    Masters degree

    A degree in English, communication, journalism with background in proofreading is preferred


    Experience:
    Experienced (minimum 2 years of job-related experience)

    Experience with editing online academic publications.

    Familiarity with the academic environment and in developing curricula.

    Sufficient technical skill to manage the software supporting bulletin production and maintenance, course and program inventories.

    KNOWLEDGE, SKILLS AND ABILITIES Familiarity with WSU schools and college degree and curricular requirements

    Ability to work independently, effectively and collegially with faculty, deans, staff and senior administrators


    COMMUNICATION SKILLS:
    Excellent oral and written communication skills

    Identifies and resolves problems in a timely

    manner. Gathers and analyzes information skillfully.


    TECHNICAL SKILLS:
    Experience with Banner and CourseLeaf, or similar software products. Familiarity with basic website content management systems is a plus.


    ANALYTICAL SKILLS:
    Ability to evaluate, interpret, and present complex information effectively in professionally prepared documents or presentations. Must possess a demonstrated attention to detail in order to achieve a high degree of accuracy.
