Job Duties

  • Manage and coordinate schedules, appointments, and meetings for the director and service line leaders as needed, ensuring efficient time management and prioritization.
  • Coordinate travel and ensure smooth travel experience.
  • Facilitate internal and external communication. Prepare and edit correspondence, reports, and presentations.
  • Take meeting minutes, create meeting agenda's and manage meeting logistics for director and attendees.
  • Handle confidential and nonroutine information with the utmost discretion.

Minimum Qualifications

  • Working knowledge of the CAPP manual, administrative procedures, Small Purchase Charge Card holder fiscal responsibilities, and state budgetary principles.
  • Extensive knowledge of software, specifically the MS Office Suite, Excel, Access and use of the Internet as an informational tool.
  • Experience managing multiple senior leadership calendars, travel itineraries, administrative duties, and operational and diverse programmatic activities.
  • Previous interaction with diverse constituencies and interagency government officials discussing administrative matters to develop and implement administrative policies and procedures.
  • Experience and knowledge with eVA, Quick Quote Bid, Contract Negotiation, SWaM purchasing requirements and pricing to acquire goods and services.
  • Experiencing managing a high volume of daily administrative operations in a dispersed team environment
  • Ability to take initiative and anticipate upcoming tasks based on program schedules and budget
  • Experience accepting guidance/instruction to achieve desired outcomes
  • Superior oral and written communication skills.

Additional Considerations
- : Must have demonstrated experience with:

  • Providing extensive administrative support functions at the direction of a supervisor/program manager.
  • Preparation and delivery of written reports and presentations targeted to internal agency audiences
