    Description
    Office Manager - Administrative Support

    A French manufacturing company is seeking an experienced candidate for the position of Office Manager/Administrator.

    Duties and Responsibilities:
    • Responsible for Onboarding new hires, including sending and managing all new hire documents.
    • Manage relationships with vendors and service providers ensuring that all invoices are processed and paid timely.
    • Contact customers daily to collect on open receivables. Work with the Sales Team on high-risk/past-due accounts.
    • Responsible for processing customer credit card payments and refunds.
    • Assist the Accounting Manager with month-end close.
    • Collect and process the sales team's expenses, reviewing for accuracy and compliance.
    • Event Management for events such as annual sales meetings, customer events, and customer meetings.
    • Establish procedures for record retention and ensure the process is followed.
    • Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement and office systems.
    • Assist and lead special projects as needed.
    • Interface with customers on resolutions of certain customer issues like collections, refunds, warranties, etc.
    • Serve as an overflow resource for certain back-office functions like customer service and order management.
    • Travel 15-20 days a year.
    • Perform daily reconciliation of shipments and invoice customer daily
    • Contact customer to collect on open receivables.
    • Work with sales team on high risk/past due accounts
    Skill Requirements:
    • Proven office management, administrative, or assistant experience.
    • Knowledge of office management responsibilities, systems, and procedures.
    • Excellent time management skills and ability to multitask and prioritize work.
    • Attention to detail and problem-solving skills.
    • Bilingual in English & Spanish is PLUS Excellent written and verbal communication skills.
    • Strong organizational and planning skills.
    • Highly Proficient in Microsoft Office.
    • Oracle NetSuite software knowledge is a PLUS
    • Knowledge of accounting, data, and administrative management practices and procedures.
    • Knowledge of clerical practices and procedures.
    • Knowledge of human resources management practices and procedures.
    • Knowledge of business and management principles.
    • Computer skills and knowledge of office software packages.
    Physical Setting:
    • Remote
    Compensation / Pay Rate (Up to): $65, $85,000.00 Per Year
