    QUALIFICATIONS:

    • AA or AS Degree or equivalent experience with a minimum of one year experience in a business-related field.
    • Must be self-assured, assertive, and confident in working with diverse groups.
    • Good written and oral communication skills required. Demonstrates sound ethical practices.
    • Good organizational and problem-solving skills are required.
    • May require the ability to work variable hours on a daily basis.
    • Must possess the ability to work independently and participate with a work collective.
    • Familiarity with personal computers to include Microsoft Office, Adobe and databases is required. Typing skills required.
      • Excel and Access experience required
    • Must demonstrate a commitment to the principles of empowerment, self-determination and diversity as per VRC mission and philosophy. Must successfully complete training and certification as Sexual Assault Counselor and Domestic Violence Counselor/Advocate.
    • Ability to travel is required. Must possess a valid driver's license, access to an automobile to perform program duties and automobile insurance as required by law.

    CLEARANCES REQUIRED: At point of hire, periodically thereafter, able to secure the Pennsylvania State Police background clearance and the Pennsylvania Child Abuse History clearance and the FBI background clearance. Other clearances may be required as relevant to the position.

    PHYSICAL REQUIREMENTS: Ability to sit for extended periods of time. Ability to reach, twist, turn, bend, stoop, walk and occasional lifting. Computer proficient and ability to complete data entry tasks. Ability to communicate efficiently in written form.

    GENERAL DUTIES: Responsible for providing secretarial and administrative activities for the agency. Regular and predictable attendance is an essential function of this position.

    The Administrative Assistant will have the following specific duties:

    I. ADMINISTRATIVE

    a) Provides secretarial support to the Board of Directors and its committees.

    b) Provides secretarial support for fundraising, public relations and marketing activities to include, donor database maintenance, annual report and newsletter creation utilizing Canva.

    c) Maintains relationships with all the agency's vendors.

    d) Assists with office filing storage and support.

    e) Orders supplies for all agency locations.

    f) Maintains and tracks training attendance and timesheet entry for agency staff.

    g) Maintains room reservation calendar for the agency.

    h) Assists VRC staff with reserving travel arrangements and conference registration.

    i) Performs accounts payable activities and petty cash disbursement as required to maintain segregation of duties.

    j) Helps maintain the day to day efficiency of the administration department.

    k) Answers agency incoming calls as needed.

    l) Monitors and maintains copier and postage usage and orders supplies as needed.

    m) Administrative filing.

    n) Assists other department staff by being cross-trained in administrative functions.

    o) Works with program staff to develop forms, procedures and workflow for each area of service.

    II. COMMUNITY

    a) Represents VRC, and their services in select public relations and public education activities.

    b) Attends community events of other agencies and groups to build VRC stakeholder base.

    III. OTHER

    a) Performs other duties as assigned.

    b) Attends ongoing training as required for the position.

    c) Adheres to all applicable VRC professional, program and direct service standards.

    d) Assists in carrying out VRC mission.

    e) Adheres to all agency policies and procedures.

    f) Attends fundraising events; participates in the coordination of said events as needed.

    g) Serves as a representative of VRC within the broader community.

    h) Actively participates in agency and department meetings/sessions with direct supervisor and/or other management staff.
