- Oversee all aspects of preventive and reactive building and site maintenance services, encompassing security, janitorial, landscaping, and pest control.
- Proactively develop safety protocols addressing potential security concerns affecting our properties, such as pandemics, civil protests, or other notable events.
- Conduct regular inspections of buildings, assessing space utilization and identifying maintenance or cleaning requirements.
- Manage facilities maintenance for our headquarters, including planning and coordinating with contractors, architects, and vendors for major renovations.
- Serve as the primary point of contact for office/facility needs and emergencies, including weather-related incidents, fire, or other hazards.
- Maintain 24/7 monitoring of weather events and inspect properties post-event before employees return to the office.
- Plan, budget, and schedule facilities modifications, ensuring adherence to approved budgets and project goals.
- Supervise vendors, track work orders, and approve billing within authorized limits.
- Coordinate the purchasing of office and facilities supplies, manage the snack and beverage program, and facilitate company-wide meetings.
- Develop and manage an office supply system for employees across multiple states, optimizing cost efficiency and home delivery.
- Act as a liaison with public utility, environmental, and energy agencies, as well as agencies requiring inspections for our buildings.
- Analyze facilities and systems to determine necessary installations, services, or repairs.
- Direct maintenance personnel in equipment installation, repair, and preventive maintenance.
- Establish and maintain maintenance policies and procedures to ensure optimal building and equipment functioning.
- Conduct periodic reviews of vendor contracts to secure best pricing and quality.
- Propose, coordinate, and execute building/space needs for our teams, including office redesigns and office moves.
- Bachelor's degree in Facilities Management, Engineering, Business Administration, or related field.
- Proven experience in facilities management, property management, or related roles.
- Strong organizational, analytical, and problem-solving skills.
- Excellent communication and interpersonal abilities.
- Proficiency in project management and budgeting.
- Knowledge of safety regulations and building codes.
- Ability to multitask and prioritize effectively in a dynamic environment.
