The Division is comprised of Campus Recreation, Counseling Services, Fraternity and Sorority Life, Dining Administration, Off Campus and Commuter Services, Residence Life and Housing, Student Conduct, Student Health Services, Student Leadership and Involvement, Sykes Student Union and Student Activities, and Wellness Promotion.


Reporting to the Vice President for Student Affairs (VPSA), the Executive Associate provides one-on-one administrative support for the VPSA; provides office and project management for the Division of Student Affairs; analyzes and synthesizes data from a variety of sources; coordinates and manages inter-departmental projects; maintains and shares institutional and divisional knowledge; and develops and maintains strong relationships with many internal and external campus constituents.

This position is a highly confidential assignment requiring the utmost respect and privacy.


Responsibilities include:


  • Provide oneonone executive support
  • Administer the overall operation of the Vice President's office
  • Provide excellent customer service as the first point of contact to campus partners including students, faculty, staff, parents, neighbors, government officials, state agencies and other universities
  • Provide leadership to the Vice President's administrative team and the Division
  • Monitor divisional budget
  • Maintain VPSA calendar
  • Schedule and plan VPSA events, travel arrangements, itineraries, and meeting materials
  • Assist with professional staff recruitment and onboarding inclusive of unionized employees
  • Prepare reports, agendas, correspondence, communications, and presentations
  • Assist the VPSA with writing and editing of communications, correspondence, and presentations
  • Coordinate and support meetings, events, and activities
  • Assist the VPSA with contract and board meeting preparations
  • Support VSPA or designee of the Emergency Management Team
  • Establish and document best practices and lead process improvements
  • Maintain confidential information and documents
  • Ensure compliance and reporting requirements to federal, state, and local governmental agencies, the Council of Trustees, Board of Governors, the Office of the Chancellor, and the Office of Legal Counsel
  • Complete other related duties as assigned

Minimum Qualifications:


  • Bachelor's degree
  • Two years of experience providing upperlevel administrative support
  • Two years of higher education or student support experience
  • Excellent written communication skills
  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook

Preferred Qualifications:


  • Experience supporting multiple people in an organization
  • Experience monitoring budgets
  • Human Resources experience
  • Demonstrated experience utilizing Microsoft Office Suite to manage and organize complex reports, presentations, documentation, and schedules
  • Experience with student information systems and document management systems used in higher education (PeopleSoft, Banner, and SAP/BI)

The salary range for this position is $72,189 to $81,603.
