We are currently searching for an experienced
Project Coordinator to support our department in
Lancaster, PA, working Monday - Friday.


The
Project Coordinator serves as point of contact and link between personnel, internal departments, and external parties, including vendors, lenders, and customers.

Performs clerical and administrative duties, analyzes and improves office processes, and ensures company-required documentation for construction projects is complete.

In reporting to Project Managers on specific projects, assist Project Management team with all project document management and project vendor accounting including but not limited to the following:


  • Contracts & Insurance:
  • Prepare, modify (as necessary) and monitor the execution status of Owner Contracts, Subcontracts and purchase orders (including prequalification paperwork, initial company setup as needed, and assist subcontractors with Schedule of Value entry for PM approval.
  • Confirm and maintain insurance coverage records for all subcontractors and vendors on project specific level.
  • Document Management:
  • Maintain the current drawing and current drawing list
  • Maintain current project directory in system of record
  • Maintain Archive of Project Correspondence:
  • Assist APM to finalize and compile O&M Manual at conclusion of project
  • Assist PM team with submittal logs, field reports, punchlist, etc. as directed
  • Compiling of documents for legal claims or incident reports, when needed
  • Cost Management:
  • Create and track status of all lien releases for all subcontractor/vendor payments
  • Compile and maintain prevailing wage reports (when required)
  • Assist in compiling monthly owner bill backup information
  • Manage change order records for Owner and Subcontractor change orders in system of record, including execution status.
  • Manage nonsubcontract invoice processing
  • Meetings:
  • Coordinate schedules to schedule meetings as requested by PM or APM
  • Attend monthly project Operations Meetings and project kickoff meetings
  • Assist with meeting minutes, as necessary
  • Assist with reporting and presentation slides for Operations Team
  • General Office Tasks:
  • Prepares mail and shipping, as requested
  • Processes incoming mail
  • Organizes and facilitates meetings, conferences and other special events as requested
  • Coordinate daytoday management, maintenance and ordering of supplies and equipment for the company

Potential Additional Essential Job Functions:


  • If located onsite at one project assist with onsite tasks including but not limited to the following:
  • Maintain project site files in the job trailer
  • Coordinate meeting schedules on site
  • Assist project superintendent as needed with paperwork, reports, etc.
  • Maintain project photo documentation
  • General Office Management duties including but not limited to:
  • Coordination with IT for equipment upgrades, changes and replacements for co-workers
  • Coordinate offsite archiving of documents
  • Support President, Officers, and Executives as requested
  • Assist with personnel onboarding and closeout, including but not limited to:
  • Assist with preboarding checklist (i.e. desk set up, name tag, IT request forms, etc.)
  • Assist with initial welcoming and onboarding (i.e. getting them logged in, building tour, etc.)
  • Collect/inventory equipment upon termination of employment

Additional Requirements:


  • Valid state driver's license required.
