Responsibilities
Responsibilities:
Greeting Clients and Visitors: Welcome clients and visitors to the office with a warm and friendly demeanor. Ensure all guests are directed to the appropriate person or meeting room.
Answering Phones: Manage a multi-line phone system, answering calls promptly and professionally. Take accurate messages and relay important information to the appropriate staff members.
Scheduling Appointments: Coordinate client appointments, meetings, and conference room bookings. Update calendars and notify staff members of any schedule changes or conflicts.
Handling Mail and Deliveries: Receive, sort, and distribute incoming mail, packages, and deliveries. Prepare outgoing mail and packages for pickup or delivery.
Maintaining Reception Area: Keep the reception area clean, organized, and presentable at all times. Ensure reading materials are stocked, and promotional materials are displayed appropriately.
Administrative Support: Provide administrative support to attorneys and staff members as needed, including photocopying, filing, and data entry.
Assisting with Client Inquiries: Assist clients with general inquiries, providing information about the firm's services, office hours, and procedures.
Maintaining Office Supplies: Monitor and replenish office supplies, including stationery, kitchen supplies, and other essentials.
Collaborating with Team Members: Work collaboratively with other administrative staff members to ensure efficient office operations and excellent customer service.
