Job DescriptionThe Document Control Clerk is responsible for managing company documents while also ensuring their accuracy, quality and integrity. This Position helps the company to adhere to record retention policies, safeguard information and retrieve data more effectively. This position requires the candidate to receive, handle, communicate and organize all incoming Quality documents including but not limited to Procedures, Work instructions, forms, reports, training records, certifications, scrap reports, Quality Alerts, Corrective actions, etc. Perform all tasks associated with the creation, modification, routing, retrieval and storage of control documents.
Essential Responsibilities:
· Comply with all quality, safety, and work rules and regulations.
· Keep document control records current. Some examples are QC inspection sheets, Quality Alerts, Corrective Actions, QMR charts, bulletin boards, etc.
· Maintain server update with technical information such as drawings and inspection sheets, wall distributions, FAI, etc.
· Keep custody of SQF original procedures, filing, indexing and distribution of SQF document and Quality Control Manuals by department and users. Assist the managers in the Document Control changes, documenting and distributing records and new documents as required.
· Maintain and Coordinate Document Control Change Revision Systems, in a manner that meets or exceeds all regulatory body requirements; keeps custody of the matrix logbook, updating the links and removing and disposing obsolete documents.
· Create, update and maintain Product Items Master files with a log revision history.
· Maintain update the employees training records including but not limited to GMP, quality training, Safety etc.
· Assists in keeping FAI samples retention.
· Assists in orientation and training of employees as assigned.
· Create quality assurance certificate of conformance statements as customer required.
· Cross functional train with Quality Control Inspectors and Quality Control Lead Inspector responsibilities and act as the delegate in their absence.
· Assist the Quality Manager in initiating the supplier Non-Conformance reports as required if raw materials are found defective.
· Create and distribute the daily scrap reports.
· All other duties as assigned.
Education and/or Experience:
· High School diploma or equivalent required.
· 2-5 years previous mechanical inspection background with ability to use basic hand measurement tools (calipers, high gauge, micrometers, etc.) preferred.
· Minimum of 3 years of experience in a similar role or a combination of experience and education will be considered.
· Familiar with SQF 2000, HACCP, and GMP preferred
· Experience in the plastic bottle industry or in a manufacturing environment is preferred.
Other skills and abilities:
· Ability to manage multiple tasks, set priorities, identify, address problems and meet deadlines.
· Self-motivated with ability to work independently with minimal supervision in a fast-paced environment with changing priorities.
· Effective teamwork, interpersonal, and leadership skills to train others in daily quality matters.
· Strong analytical skill and attention to details.
· Excellent written and communication skills with ability to write simple correspondence with proper grammar, syntax, spelling and punctuation.
· Computer skills- experience with software including Excel, Word, Power Point and Adobe at an intermediate level to keep track of administrative task such as report writing, analysis of work orders, evaluation of First Articles, etc.
· Must be able to type 50 wpm.
· Strong analytical skills and attention to detail.
· Must be available for after hour calls for critical issues (minimal occurrence).
· Must be able to work overtime and weekends as required.
· Comply with all quality, safety, and work rules and regulations.
· Ability to work overtime and weekends as required.
· Must be committed to the success of the entire organization.
Physical Requirements:
Requirements include, but are not limited to:
· Must be able to stand and walk for prolonged periods of time.
· This position may alternate between prolonged periods of sitting and or prolonged period of standing and walking.
· Must be able to lift and carry up to 50 lbs.
· Must be able to push, pull, twist, climb, balance, stoop, kneel, and crawl.
· Must be able to perform repetitive motions such as reaching and grasping.
· Must be able to use a ladder or step ladder during the course of work.
· Work environment is in a warehouse and temperatures inside vary between hot or cold based on the outside conditions.
· This is a fast-paced environment with constantly changing priorities.
