    POSITION OVERVIEW

    Under the direction of the Fairgrounds Director, this position works to connect the public with information about rentable Fairgrounds facilities as well as opportunities to invest in the Fairgrounds through sponsorships. This position will be responsible for communicating the city ordinances, County, and Fairgrounds policies that lessees and sponsors must follow. Additionally, they will recommend ways to increase revenue from rentals and sponsorships while generating reports to track revenue from rentals and sponsorships.

    In preparation for the annual Fair event, this position will assist in scheduling acts as well as marketing coordination for the Fair. This position works in conjunction with the Fairgrounds Director to communicate the work of the Gallatin County Fairgrounds.

    SPONSOR STEWARDSHIP
    • Work with Fairgrounds Director to understand and improve the financial goals and identify opportunities
    • Develop strategies for new and increased sponsor engagement as related to the Fairgrounds and Fair event goals
    • Cultivate mutually beneficial sponsorship relationships and steward to the point of contracting
    • Ensure each sponsorship contract is fully executed and not conflicting with other contracts or County or Fairgrounds policies
    • Meet with sponsors to get feedback, respond to problems, recommend improvements and evaluate likelihood of future sponsorships
    • Create reports, spreadsheets and post-event information packets to communicate with sponsors, staff, and/or policy makers
    EVENT/ RENTAL COORDINATION
    • Work with all prospective and contracted event lessees to schedule events, create contracts and ensure compliance with County and Fairground policies
    • Coordinate and manage RV bookings
    • Book, track, and communicate about events with appropriate staff
    • Act as the main point of contact for event needs
    • Upload information about public events held at the Fairgrounds to the website and social media accounts
    • Create strategies to increase the customer base for events at the Fairgrounds as well as method(s) to track and report progress of strategies
    • Help with the scheduling and contract execution for the acts at the annual Fair event
    • Provide on-the-ground support as needed for the annual Fair event
    COMMUNICATION
    1. Post updates and general information to social media accounts and website
    2. Answer phone calls on the main office line and respond to the Fairgrounds info account email
    3. Coordinate Fair marketing and promotions with other departments and outside agencies and organizations
    4. Assist in arranging and overseeing media interviews with Gallatin County Fairgrounds event staff and event sponsors
    5. Identify and implement new avenues and markets for communication
    6. Recommend areas where efficiencies or improvements can be made
    QUALIFICATIONS

    This work requires knowledge of office procedures; standard computer systems and software including Word, Excel, Outlook, Internet, Social Media; customer service standards; records management; skill in the operation of standard office equipment (fax, copy machine, etc.); requires very strong telephone skills and verbal and written communication skills, including the ability to prepare clear and concise reports, make business presentations and speak publicly. This position must have the ability to establish and maintain effective working relationships with those contacted in the course of work including a variety of City, County and other government officials, community groups, potential sponsors and the general public; position requires strong sales and service philosophy and skills, creativity, professionalism, positive attitude and initiative; be detail oriented; ability to research, analyze and evaluate new marketing and promotional methods, procedures and techniques; analyze problems and identify alternative solutions and develop, implement and administer goals, objectives and procedures for providing effective and efficient marketing and promotional programs. A background of project management, sponsorships and/or fundraising experience, sales and promotions is preferred. The position requires a willingness to be an engaged part of a team and the ability to adapt and learn quickly.
    EDUCATION & EXPERIENCE

    The required knowledge, skills and abilities are typically acquired through a combination of education and experience equivalent to five (5) years related work experience in project management and/or marketing and sponsorships. This position must possess a valid driver's license and must be insurable under the County's liability policies.

    Paid Parental Leave (PPL)- In recognition of the importance of bonding and care of a newborn child or a child placed for adoption, Gallatin County provides 240 hours of PPL to eligible full-time employees. The hours are pro-rated for part-time employees.

    Public Employees Retirement System - Montana public employees of the state, university system, local governments and certain employees of school districts are covered by the Public Employees Retirement System (PERS). New members to the PERS have an opportunity to choose between two retirement plan options: the Defined Benefit Plan or the Defined Contribution Plan.

    Sheriffs' Retirement System (SRS) - A public pension plan for all Montana Sheriffs hired after July 1, 1974 and Detention Officers hired after July 1, 2005.

    Supplemental Retirement Benefits are offered through Nationwide and Empower.

    Sick Leave - Full-time employees accrue 7.40 hours per month and are eligible to use sick leave once it is accrued. The accrual is pro-rated for part-time employees.

    Vacation Leave - Full-time employees accrue 9.20 hours per month and are eligible to use leave once it is accrued. The accrual is pro-rated for part-time employees.

    Holidays - The County observes eleven legal holidays in even numbered years and ten legal holidays in odd numbered years.
