    Professional Job Description:
    The Department of Physics & Astronomy administrative team is seeking a full-time grant and travel manager. This position will manage and oversee the department grant and travel administration.


    Responsibilities:

    Grant Administration Management (60%): Manages the grants and contracts (grant pre-award and post-award) including but not limited to the following: manages the reconciliation of account records; monitors financial activity; long-range financial planning; assist faculty with proposal submissions; analyze and audit daily business expenditures on grants and cost sharing accounts; coordinates reporting, filing extensions and modifications with the PI's; prepares and processes monthly journal entries; provides grant proposal training and guidance to the faculty; keeps faculty abreast of university regulations regarding overhead, benefits, various fees and other budgetary elements; serves as liaison with the university central office of sponsored programs and the office of program accounting.

    Each grant is unique; therefore, this position requires a person who can analyze the financial transactions in compliance with the contract and provide financial guidance and assistance to faculty members to ensure compliance with grant restrictions and guidelines.


    Travel administration Management (20%):

    Travel Responsible for managing the department travel administration which includes but is not limited to the following: supervise and train direct reports and employees who are responsible for coordinating travel arrangements and reimbursements; serves as back-up travel coordinator for the department; conduct annual audits of the travel arrangement and reimbursement processes to identify ways to streamline processes for accuracy and efficiency; keeps department employees abreast of changes to the travel systems, policies and procedures.

    Supervisory (20%): Promotes professional effectiveness; responsible for supervising a grant/travel coordinator (full-time employee) and coordinator (part-time employee)

    Minimum qualifications:
    Bachelor's degree in accounting, finance or a related field with 3 years of related experience

    Preferred qualifications:
    6-10 years of University financial administration, travel booking coordination/administration, Microsoft office and cloud applications; GeauxGrants system, system and supervisory experience
